Office Manager
Position Summary
The Office Manager is the operational backbone of CAPE North America's administrative function. This individual will be responsible for managing day-to-day office operations, supporting company leadership, coordinating HR and onboarding activities, overseeing accounts payable and receivable support, and ensuring the front office runs efficiently as the company scales.
This is a high-impact, highly visible role ideal for a self-starter who thrives in a startup environment, takes initiative without being asked, and can shift smoothly between strategic support and hands-on administrative tasks. You will be the first point of contact for visitors, vendors, and new hires — and the person the leadership team relies on to hold everything together.
Key Responsibilities
Office Operations & Administration:
• Oversee all day-to-day administrative functions of the office, including facilities coordination, supply management, and vendor relationships
• Manage incoming and outgoing correspondence, mail, phone calls, and emails on behalf of the company
• Maintain organized filing systems (physical and digital) for company documents, contracts, licenses, and records
• Coordinate office equipment, IT supply needs, and service providers
• Serve as the primary point of contact for building management, utilities, and facility-related vendors
• Develop and enforce office procedures and administrative policies as the company grows
Executive & Leadership Support:
• Provide direct administrative support to the General Manager and senior leadership team
• Manage executive calendars, schedule meetings, and coordinate travel arrangements
• Prepare reports, presentations, meeting agendas, and correspondence on behalf of leadership
• Track action items and follow up with department heads to ensure deadlines are met
• Handle sensitive and confidential information with professionalism and discretion
Human Resources & Onboarding Support:
• Coordinate new hire onboarding, including paperwork processing, badge issuance, workspace setup, and orientation scheduling
• Maintain accurate employee records, files, and HR documentation in compliance with state and federal requirements
• Assist with job posting coordination, applicant communications, and interview scheduling
• Track employee attendance, PTO balances, and timekeeping records
• Support benefits enrollment and open enrollment processes in coordination with the HR Coordinator
• Ensure I-9 compliance, personnel file accuracy, and confidentiality of employee information
Finance & Accounting Support:
• Process and track accounts payable invoices; coordinate with vendors on payment status and discrepancies
• Support accounts receivable by generating invoices and following up on outstanding balances
• Reconcile petty cash, office expense accounts, and credit card statements
• Assist with month-end financial reporting by gathering and organizing documentation for the accounting team
• Manage purchase requisitions for office and administrative supplies within approved budgets
Communications & Culture:
• Serve as the first point of contact for visitors, customers, and vendors — representing CAPE North America professionally at all times
• Coordinate company events, team lunches, recognition programs, and milestone celebrations
• Help foster a positive, organized, and welcoming office environment
• Support internal communications, including company announcements and bulletin board updates
