We are seeking an organized, proactive, and people-focused Assistant Business Manager to support the operational, administrative, and people functions of our civic engineering contracting firm. This role is central to keeping the business running smoothly—supporting leadership, project teams, and office operations in a fast-paced, mission-driven environment.

 

 

 

 

The Role

 

 

As our Assistant Business Manager, you will help serve as the operational backbone of the company. You will help oversee day-to-day business and office operations, coordinate administrative and financial processes, and support our team across projects, compliance, and people management. This is a hands-on role for someone who thrives on organization, problem-solving, and keeping multiple moving parts aligned.

 

You will work closely with company leadership, project managers, vendors, and external partners to ensure the business side of our engineering and construction work runs efficiently and professionally.

 

 

 

 

Key Responsibilities

 

 

 

Office & Business Operations

 

 

  • Oversee daily office and business operations, including facilities, supplies, equipment, and vendor coordination
  • Serve as the primary point of contact for office visitors, clients, vendors, and service providers
  • Coordinate schedules, meetings, and calendars for leadership and internal teams
  • Manage inbound and outbound mail, deliveries, and general office logistics
  • Maintain organized systems for files, records, contracts, and correspondence

 

 

 

Financial & Administrative Support

 

 

  • Assist with budgeting, expense tracking, invoice processing, and coordination with accounting and payroll
  • Track office and project-related expenses and support financial reporting as needed
  • Support contract administration, insurance certificates, and compliance documentation typical of civic engineering and construction work

 

 

 

HR & People Support

 

 

  • Support hiring and onboarding processes, including scheduling interviews and preparing new-hire materials
  • Maintain personnel records and assist with benefits administration and HR coordination
  • Help foster a professional, welcoming, and collaborative workplace culture

 

 

 

Project & Leadership Support

 

 

  • Assist leadership and project teams with special projects, reporting, and administrative needs
  • Coordinate internal meetings, trainings, and team events
  • Support compliance with workplace health, safety, and regulatory requirements

 

 

 

 

 

What We’re Looking For

 

 

 

Education/Experience

 

 

  • 4 year B.S. Degree in Business Administration Required
  • Internship as a business manager, office manager, administrative, or operations support role
  • Experience in construction, engineering, professional services, or a project-based environment is a plus, but not required

 

 

 

Skills

 

 

  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to multitask, prioritize, and work independently in a fast-moving environment
  • High level of discretion and professionalism when handling confidential information
