Purchasing Assistant
Lean IT Inc. is seeking a detail-oriented and organized Purchasing Assistant to support our procurement and vendor management operations. The Purchasing Assistant will work closely with internal departments and external suppliers to ensure timely purchasing of goods and services while maintaining accurate records and supporting efficient procurement processes.
This role is ideal for individuals who enjoy organization, problem-solving, communication, and working in a fast-paced business environment.
Key Responsibilities
- Assist with the preparation and processing of purchase orders.
- Coordinate with vendors regarding pricing, product availability, order status, and delivery schedules.
- Maintain accurate purchasing records, supplier information, and procurement documentation.
- Monitor inventory levels and assist in replenishment activities when necessary.
- Support vendor onboarding and supplier relationship management activities.
- Review invoices and purchase documentation for accuracy and compliance.
- Track and follow up on outstanding orders to ensure timely delivery.
- Collaborate with internal departments to understand purchasing requirements and priorities.
- Assist with sourcing products, obtaining quotes, and evaluating supplier options.
- Generate procurement reports and maintain purchasing databases.
- Support contract administration and procurement compliance activities.
- Perform general administrative duties related to purchasing and supply chain operations.
Required Qualifications
- Bachelor's degree or Master degree in Business Administration, Supply Chain Management, Procurement, Finance, or a related field preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and accuracy.
- Professional and customer-focused approach to communication.
Preferred Qualifications
- Previous experience in purchasing, procurement, inventory management, administration, or supply chain support.
- Familiarity with enterprise resource planning (ERP) systems or procurement software.
- Experience working with vendors and suppliers.
- Knowledge of purchasing procedures and procurement best practices.
