Executive Assistant

Job Summary

The Executive Assistant (EA) serves as a strategic administrative partner to the Chief Executive Officer (CEO) while providing comprehensive operational support to the broader Senior Leadership Team (SLT). Operating as the central hub of executive operations, the Executive Assistant shall be responsible for internal and external communication, crafting messages that align with Integrity’s voice and strategic goals. Additionally, the Executive Assistant may be integrated into Integrity’s risk mitigation framework by providing administrative support for activities, monitoring compliance, tracking sensitive issues, and serving as an overall safeguard for the agency’s operational integrity. The Executive Assistant is required to practice with emotional intelligence, sharp analytical skills, and discretion for highly confidential information. This is a full-time, exempt position. The Executive Assistant will work traditional work hours Monday – Friday 9:00am-5:00pm, on-site. The Executive Assistant will be required to work earlier and/or later as needed, to support organizational events and/or to respond to critical items.

Key Responsibilities 

  1. Executive & Administrative Support: 
    • Manage complex calendars and scheduling for the Chief Executive Officer & the Senior Leadership Team. 
    • Coordinate seamless domestic and international travel logistics. 
    • Draft, proofread, and format executive correspondence and presentations. 
    • Screen incoming communications and prioritize urgent matters. 
  2. Cross-Functional Team Collaboration: 
    • Serve as the central communication bridge for the Chief Executive Officer. 
    • Organize leadership meetings, including agenda creation and logistics. 
    • Record detailed meeting minutes and track action items. 
    • Facilitate collaboration across various internal departments. 
  3. Communication & Public Relations:
    • Draft company wide announcements on behalf of the Chief Executive Officer & the Senior Leadership Team. 
    • Align internal messaging with corporate communication consistent with the agency’s mission, vision, strategic goals, values, and branding. 
    • Coordinate and/or support organized town halls, webinars, and large corporate events. 
  4. Risk Management & Committee Engagement: 
    • Provide administrative support for risk management activities. 
    • Maintain confidential risk registers and compliance documents. 
    • Coordinate logistics for crisis management and continuity planning as needed. 
    • Track regulatory deadlines and policy updates, as needed. 
    • Oversee assigned committees, ensure logistics for event coordination, tracking dates, communication, entertainment, etc.
