Communications Coordinator

Location: New York, NY

Employment Type: Full – time; exempt

Salary Range: $65,000 - $80,000 / year, depending on experience

 

WXY architecture + urban design is an award-winning multi-disciplinary practice specializing in urban design, planning, and architecture. Focused on innovative approaches to public space, structures and urban issues, the firm's work engages both site-specific design and planning at multiple scales. WXY's office is located in New York City.

WXY is seeking a Communications Coordinator with graphic design, communication skills to assist the firm with marketing and communication activities and proposal coordination and production. The Communications Coordinator will be working under the direction of the Senior Writer and Strategic Growth Manager, and in conjunction with the firm principals and directors. The ideal candidate must have strong organizational skills, including the ability to coordinate meetings, manage calendars, and track marketing data and deadlines across various needs, and be able to work as a team player under tight deadline situations. The candidate will be proficient in Adobe Creative Suite, particularly Adobe InDesign, and have strong writing skills. The position requires the ability to communicate effectively and collaborate in an interdisciplinary environment. The candidate will be part of the Communications Team in a fast-paced, deadline-driven atmosphere and must be able to work on multiple projects simultaneously.

 

Responsibilities include but not limited to:

  • Manage and grow WXY’s digital presence across Instagram, Tumblr, and LinkedIn, developing content strategies that communicate firm’s design ethos, research, and public impact.
  • Lead the development of awards submissions, including asset management and deadline coordination with senior leadership and PR Team.
  • Work closely with PR Team and communications staff to identify projects, initiatives, and thought leadership opportunities for media amplification; coordinate interviews, press materials, and support visual assets. 
  • Track and coordinate industry conferences, lectures, exhibitions, benefits, and public events; support scheduling, registration, and travel logistics in collaboration with studio operations staff.
  • Maintain and manage a comprehensive communications calendar covering editorial schedules, award deadlines, speaking engagements, office events, and key industry milestones.
  • Coordinate speaking engagements and conference participation for senior leadership, including drafting speaker proposals, presentations, and supporting marketing materials.
  • Support the development, production, and maintenance of proposals, interview materials, lectures, presentations, and other business development collateral.
  • Assist in the curation and ongoing maintenance of marketing assets, including resumes, project sheets, photography, visual libraries, and digital content systems.
  • Organize and maintain archival materials, digital publications, press coverage, photography, and print collateral to support institutional knowledge and brand consistency.
  • Produce internal communications and collaborate on external newsletters, editorial content, and firm announcements with principals and the communications team.
  • Maintain and strategically organize Mailchimp mailing lists and audience segmentation to support targeted outreach and campaigns.
  • Monitor and analyze social media performance metrics, audience engagement, and content effectiveness to inform future communications strategies.
  • Support photo and video asset management, including headshots, project photography, and multimedia documentation, liaising with photographers and videographers to commission new visual content.

 

Experience & Qualifications:

  • Bachelor’s degree in Marketing, Graphic Design, Communications, Architecture, Urban Design, Planning, or related discipline. 
  • 1-5 years of professional experience within architecture, urban design, planning, landscape architecture, or creative/design-focused fields. 
  • Advanced proficiency in Adobe Creative Suite, including InDesign, Illustrator, Photoshop, and Premiere Pro; familiarity with motion graphics, presentation design, or video production is a plus.
  • Strong organizational and project management abilities, including coordinating multiple deadlines, managing production workflows, and maintaining meticulous attention to detail across deliverables.
  • Excellent written, verbal, and interpersonal communication skills with the ability to collaborate across multidisciplinary teams of designers, planners, strategists, and consultants.
  • Strong graphic communication skills with an understanding of visual hierarchy, typography, layout systems, and brand consistency across print and digital media.
  • Experience supporting proposals, competitions, publications, exhibitions, social media campaigns, or public-facing design communications is a plus.
  • Curiosity about culture, cities, emerging technologies, and the role of design in shaping equitable and resilient communities.
  • Working knowledge of the built environment, including architectural processes, urban systems, public realm design, infrastructure, and civic or community-centered projects.
