Sales and Events Specialist
JOB PURPOSE:
The Sales and Events Specialist will support the planning and execution of tradeshows, regional events, and smaller conferences, along with providing department administrative support.
Job Summary:
This role will be responsible for ensuring smooth, consistent execution across all tradeshow and events, working closely with the Sales and Marketing teams to support event logistics, coordination, and follow-through. The Sales and Events Specialist plays a critical role in maintaining organization, timelines, and quality across multiple events throughout the year. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously while supporting cross-departmental initiatives.
Job Duties:
Tradeshow & Event Execution:
- Coordinate and execute all tradeshows and regional events, maintaining event calendar and planning documentation
- Track tradeshow event budgets and expenses
- Manage logistics including booth setup, shipping, travel coordination, and vendor communication
- Schedule and host planning meetings for each event, and develop a corresponding show guide to outline goals, logistics, travel and key activities
- Ensure all materials and assets are prepared and delivered on time
- Support post-event follow-up by ensuring accurate data transfer to CRM
- Assist with booth staffing coordination and scheduling, providing onsite event support as needed.
Sales & Marketing Coordination:
- Provide support for Synergy Connect, the national users conference, by assisting with registration (Cvent) setup, attendance tracking, session scheduling, travel booking, as well as other administrative and logistical support activities
- Assist with campaign list development to support lead generation activities
- Maintain updating of Salesforce CRM to ensure all new sales and upsells are accurately reflected
- Assemble and ship materials to support new client welcome kits and other marketing requests as needed
- Assist with coordination and execution of marketing campaigns and lead generation initiatives
- Support marketing programs including webinars, Lunch & Learns, and digital marketing activities
- Plan and manage national sales meetings, including agendas, scheduling, meals and teambuilding activities
- Maintain inventory and ordering of promotional materials, marketing collateral, and event supplies
Process & Organization:
- Standardize event planning processes and documentation
- Identify opportunities to improve efficiency and consistency
- Maintain organized records of vendors, materials, and event assets
- Other duties as assigned
Job Requirements-Knowledge/Skills/Abilities:
*Knowledge:
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat
- Proficiency with event management platforms (Cvent experience a plus)
- Experience and knowledge of CRM platforms (Salesforce preferred)
- Experience in event coordination, marketing or related field
- Experience supporting tradeshows or corporate events preferred

EDUCATION AND/OR EXPERIENCE:
- 1-4 years of experience in event coordination, marketing or related field
- Associate or Bachelor degree in Communications, Marketing, Business or other relevant fields preferred; or a combination of academic education, professional training, and work experience that demonstrates the ability to perform the duties of the position
Typical Physical Demands and Work Environment:
Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies, occasionally lifting files, objects or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, telephone, copier and other office equipment as necessary. Hearing must be in the normal range for telephone and video conferencing contacts. Visual acuity necessary to work extended hours on computer screens. Ability to work in an environment with moderate noise and which can be fast paced and project intensive. Travel and some extended overnight trips in the performance of duties may be required.
