Head Of Operations
About the Role
The Head of Operations will serve as Lindsay’s right hand—bringing structure, process, and operational rigor to a fast-growing luxury travel business. This is not a behind-the-scenes-only role; you’ll be the organizational backbone of the company, managing everything from client communications and trip logistics to team coordination, technology implementation, and workflow design. Think of it as part Chief of Staff, part operations strategist, and part client experience guardian. You’ll ensure that nothing falls through the cracks while helping the business scale sustainably.
This role is ideal for someone who thrives in a fast-paced, high-service environment, has a genuine passion for travel, and is energized by bringing order to creative chaos. You should be equally comfortable building a workflow in a project management tool as you are drafting a polished client email or coordinating a complex multi-destination itinerary.
Key Responsibilities
Operations & Workflow Management
• Design, implement, and continuously improve internal workflows, SOPs, and operational
systems to support business growth.
• Own the operational calendar—ensuring deadlines, follow-ups, and key milestones for
clients and internal projects are tracked and met.
• Identify and implement AI tools and technology solutions to increase efficiency across
the business (e.g., AI-assisted research, communication tools, skill building).
• Manage vendor and supplier relationships, including rate checks, reconfirmations, and
contract follow-ups.
Client Experience & Communications
• Serve as a key point of contact for client communications—drafting, editing, and sending
polished emails, proposals, and itineraries that reflect the Posh Places brand voice.
• Ensure a seamless, white-glove client experience from initial inquiry through post-trip follow-up.
• Manage CRM data and maintain accurate, up-to-date client records and documentation.
• Support trip research, including destination and property research, experience sourcing, and itinerary builds based on client preferences.
• Handle rate checks, booking confirmations and VIP-ing, and supplier coordination to ensure flawless trip execution every time.
Team Leadership & People Management
• Support Lindsay in managing and coordinating any team members, contractors, or assistants as the business scales.
• Lead team syncs, maintain internal trackers, and flag urgent client updates or
operational issues.
• Foster a collaborative, positive team culture rooted in high standards and mutual accountability.
Strategic & Administrative Support
• Act as a thought partner to Posh Places Travel leadership team on business strategy, growth initiatives, and process improvements.
• Support marketing efforts as needed, including social media content coordination, email campaigns, and data tracking.
• Manage administrative tasks such as scheduling, expense tracking, and vendor
communications.
• Maintain discretion and professionalism with sensitive financial and client information at all times.
Qualifications

Required
• Exceptional organizational skills and meticulous attention to detail—you are the person who catches what everyone else misses.
• Strong written and verbal communication skills with the ability to draft polished, on-brand client-facing correspondence.
• Strong interpersonal and people skills—you build trust quickly, communicate with warmth, and work well across different personalities.
• AI fluency—you actively use AI tools (ChatGPT, Claude, automation platforms etc.) in your daily work and are excited to find new ways to leverage technology for efficiency.
• Ability to build or quickly learn to build workflows, SOPs, and systems from scratch and improve existing ones.
• Proficient with modern productivity tools (Google Workspace, CRM platforms, project management software) and comfortable learning new technology quickly.
• Ability to manage multiple priorities in a fast-paced environment without sacrificing quality.
• Discretion and professionalism with confidential client and financial information.
Preferred
• 3-5 years of experience in operations, project management, executive support, or a Chief of Staff–type role, preferably in a high-service or client-facing business.
• 1-2 years of experience in the luxury travel industry, hospitality, or a travel advisory business (experience as a Fora Advisor who uses the Fora Portal is a strong plus).
• Familiarity with travel booking platforms, supplier networks, and the luxury travel ecosystem.
• Background working directly with a founder or business owner in a small, entrepreneurial environment.
• Experience managing or coordinating a team, even informally.
