We are looking for a highly organized, proactive, and relationship-driven Client Accounts & Operations Coordinator to help support both our customers and internal production team. This role is ideal for someone who thrives in a fast-paced environment, enjoys balancing customer communication with operational coordination, and takes pride in keeping projects moving smoothly from quote to delivery.
The Client Accounts & Operations Coordinator serves as a key communication bridge between customers, sales, production, fulfillment, and shipping departments. This role manages customer accounts, coordinates orders, tracks production timelines, assists with online stores, and helps ensure projects are completed accurately and on time.
The ideal candidate is detail-oriented, dependable, solutions-focused, and comfortable managing multiple priorities simultaneously.
Responsibilities
Client Account Management
- Serve as a primary point of contact for customer accounts
- Build and maintain strong client relationships through excellent communication and follow-up
- Assist customers with apparel selections, order details, artwork approvals, and timelines
- Manage customer expectations regarding production schedules and delivery dates
- Respond to emails, phone calls, and quote requests in a timely and professional manner
Order & Production Coordination
- Enter and manage orders within internal systems
- Coordinate with art, production, embroidery, fulfillment, and shipping departments
- Track production progress and proactively communicate updates
- Review orders for accuracy including garment styles, sizing, print locations, spelling, colors, and quantities
- Help resolve production or customer service issues quickly and professionally
- Assist with scheduling priorities and workflow coordination
Online Stores & Fulfillment
- Assist with setup and management of online merchandise stores
- Coordinate employee stores, spirit wear stores, and fundraising stores
- Help monitor inventory levels and fulfillment needs
- Support shipping coordination and customer order tracking
Administrative & Operational Support
- Maintain organized records and documentation
- Assist with reporting and internal communication
- Support operational improvements and workflow organization
- Help ensure deadlines are met across departments
Qualifications
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Customer service or account management experience preferred
- Ability to thrive in a fast-paced environment with shifting priorities
- Strong attention to detail
- Positive attitude and team-oriented mindset
- Comfortable learning new software systems and processes
- Problem-solving mindset with the ability to stay calm under pressure
Preferred Experience
- Experience in screen printing, promotional products, apparel, embroidery, or production environments
- Familiarity with platforms such as Printavo, InkSoft, ShipStation, or CRM systems
- Experience managing customer accounts or coordinating projects
- Experience with online stores or fulfillment operations is a plus
