Executive Operations Associate
Vault JS monitors and analyzes web and mobile apps for security and privacy violations on behalf of some of the largest companies in the world. We're remote, fast-moving, and built by a team that has done this before. Our previous startup grew to 300 employees and raised over $100M in funding. We're applying everything we learned to a bigger problem this time.
We need someone to be the swiss army knife of the company. You'll work directly with our COO to keep the organization running smoothly. The role is dynamic and entrepreneurial, and you'll see every part of the business: the messy days, the wins, and what it actually takes to serve some of the biggest brands in the world.
You'll also be one of the first people on the team to build daily workflows around Claude and other AI tools. We treat AI as a force multiplier across admin work, marketing, HR ops, and research, and we expect you to do the same. If you've already been quietly running your life with Claude or ChatGPT, you'll fit right in.
What you'll do
- Executive support for the leadership team: calendar, travel, expenses, meeting prep, follow-up tracking
- HR onboarding and compliance: new hire packets, benefits coordination, policy upkeep, basic compliance check-ins
- Marketing execution: webinar logistics, event coordination, light content production, social scheduling, list hygiene in our CRM
- AI-enabled ops: building dashboards, summarizing meetings, drafting first-pass docs, pulling research briefs
- Whatever else comes up. At an early-stage startup, that's the job.
What we're looking for
- Extremely strong organizational skills. You don't drop balls, and you build systems so other people don't drop them either.
- High EQ. You'll be in rooms with very senior people, and you should be comfortable nudging the CEO to clear a decision when he's stuck.
- Tech savvy. You pick up new SaaS tools fast, and you're already using (or eager to use) Claude or similar AI tools every day. Bonus if you can describe a workflow you've automated.
- Curious. You think beyond the surface of a problem.
- Self-motivated and independent. Remote work means we trust you to drive your own day.
- Nice to have: Adobe Creative Suite, prior startup experience, an interest in privacy and security.
Logistics
- 100% remote, US-based
- Core hours overlap with Pacific
- Reports to the COO
- Compensation: 65-80K
- Light travel for team offsites a few times per year or marketing events
