Administrative Assistant

Administrative Assistant Needed for a Commercial Contractor in Kent, WA

Schedule: Mon-Fri, 7am-4pm

A commercial contractor is seeking a highly motivated Bilingual Spanish Administrative Assistant with exceptional communication skills, fluency in written and verbal Spanish for a dynamic position in a collaborative, fast-paced, and friendly environment. This role is pivotal in supporting our operations and safety team, particularly in facilitating administrative processes. This is a contract-to-hire role, with the potential for permanent placement for the right candidate.
 
What Your Day Looks Like:

  • Change Order Management: Handle requests and processing.
  • Job Numbers & Prequalifications: Ensure timely entry and updates.
  • Document Coordination: Manage COIs (Certificates of Insurance), Safety Paperwork, and Permits.
  • Onboarding Support: Facilitate orientations for new staff.
  • Communication: Serve as a bridge between office staff and field teams, maintaining effective and clear communication.
  • General Administrative Support: Assist estimators, project managers, and the Safety Coordinator with various tasks.
  • Fleet Management: Monitor vehicle logs and fuel cards.
  • Report Writing: Draft detailed and accurate reports.
  • Other Duties as Assigned.

Qualifications:

  • Computer Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint). SharePoint experience is a plus, but training is available.
  • Organizational Skills: Strong prioritization, time management, and multitasking capabilities in a fast-paced environment.
  • Detail-Oriented: Must be meticulous with high accuracy in document handling and analysis.
  • Soft Skills: Exceptional communication, self-motivation, and critical thinking. Collaborative.
  • Experience: Open to junior candidates; reliability and a willingness to learn are key.
