The Database and Prospect Relations Specialist role will assist in managing the donor database, researching prospects and funding opportunities, and helping build strong relationships with individuals, corporations and foundations to help AIDB and the AIDB Foundation accomplish its philanthropic goals.
HOW YOU WILL MAKE AN IMPACT
You will play a critical role in identifying prospective donors; cultivating and managing relationships with donors; and assisting with fundraising initiatives and events. You will work independently, as well as with a team. You will display a positive, approachable, and professional demeanor, serving as a point person for both current and prospective donors, staff and community organizations/groups interested in giving to or partnering with the AIDB Foundation.
BASIC QUALIFICATIONS
- High school diploma or GED.
PREFERRED QUALIFICATIONS
- Two (2) years of data entry experience.
- Bachelor’s degree
- Experience with Raiser’s Edge and/or other donor database platforms.
- Professional experience in fundraising or non-profit sector.
POSITION RESPONSIBILITIES
Database Management & Data Integrity
- Gift & Pledge Tracking: Enter gifts and pledges accurately into the database.
- Records Maintenance: Manage the process for database updates including addresses, email addresses, phone numbers, and other contact information.
- Data Quality Control: Ensure data integrity through accurate data entry and ongoing clean-up efforts of donor records.
- Campaign Support: Support Annual Giving efforts by providing data, strategic planning, and collaboration.
Prospect Research & Relations
- Prospect Identification: Seek out major giving prospects within the database and conduct detailed donor research to develop fundraising and grant prospects.
- Donor Cultivation: Prepare accurate research on prospects and assemble tailored materials for cultivation and solicitation visits.
- Stewardship & Acknowledgments: Manage the production of gift receipts and acknowledgement letters to ensure all donors are appropriately thanked in a timely and meaningful way.
Campaigns, Communications & Reporting
- Reporting & Analysis: Provide weekly and monthly tracking reports to the OIA Team, regular updates to the Executive Director of Institutional Advancement, and data support for Alumni Groups and friends.
- Campaign & Event Collaboration: Assist with the Employee Giving Campaign and collaborate with AIDB units and community partners to execute internal/external giving campaigns and fundraising events.
- Collateral & Lists: Create mailing lists for direct mail appeals, special events, and other OIA mailing campaigns; assist with the creation of appeals, acknowledgment letters, reports, and proposals.
- Publications & Reports: Complete quarterly and annual endowment reports for donors and social media, create donor recognition reports, and provide information for publications and meetings.
Professional Skills
- Technical Proficiency: Demonstrate working knowledge of computers and software programs including Google G-suite (Calendar, Sheets, Docs, Drive), Microsoft Word, and Microsoft Excel.
- Professional Attributes: Must be organized, professional, self-motivated, and have the ability to exercise sound judgment, manage multiple tasks/deadlines, and work independently with minimal supervision.
- Collaborative Spirit: Work cooperatively with specified constituents and train others within the Advancement department on how to use the database and pull information.
- Communication Mastery: Must exhibit excellent oral and written communication skills.
Professional Development & Certification
- Communication Proficiency: Achieve a SURVIAL rating within 12 months of hire, SURVIVIAL PLUS within 24 months of hire and INTERMEDIATE sign language proficiency level (per AIDB evaluation) within 36 months of hire.

SALARY: C5 - 42 $19.91- $23.93 per hour
Direct deposit is required. (260 Days)
This is a non-exempt position, and is subject to overtime and/or compensatory time provisions of the Fair Labor Standards Act.
