The Missoula County Lands & Communities Department is seeking an ADMINISTRATIVE ASSISTANT to join their team. This position performs administrative support duties and high-level operational support for Lands & Communities.

Representative Examples of Work

Performs administrative and support tasks including reception of callers and visitors; managing calendars, scheduling appointments and special events; preparing for meetings; planning events; preparing and disseminating schedules, agendas, meeting minutes, daily mail and other information. Provides administrative support to Lands & Communities boards including Missoula Consolidated Land Use Board, and other advisory boards by coordinating meeting logistics, including meeting facilitation, preparing and disseminating agendas and meeting minutes. Detail-oriented data entry, end-to-end contract administration, and accurate financial tracking/reporting that supports operational efficiency and compliance. Track budgets, expenditures, invoices, and financial commitments associated with projects, contracts and grants. Maintains public records and files; prepares payroll and processes claims; monitors budget expenditures. Performs complex clerical and administrative work requiring the exercise of independent judgment. Composes and prepares correspondence, complex meeting minutes, reports and forms from source material. Assists in obtaining and compiling information and data for use in special reports and presentations; may conduct research on assigned subjects. Uses technology including content management systems, agenda management systems, remote meeting systems, and spreadsheet and database applications to process and track information, provide information to the public, prepare reports, create graphs and charts; uses desktop publishing application to create brochures, write newsletters and other publications. Develops and maintains department website and social media presence. Provides technical assistance to employees on office procedures; acts as a liaison between department officials, other employees and the general public; attends meetings as departmental representative as required or directed. May present information in public meetings as required or directed.

Minimum Qualifications

  • Requires high school graduation or GED.
  • Requires two years of office clerical or administrative support in an office setting, including providing customer service

Physical/Environmental Demands

The work is commonly performed in an office setting with a considerable amount of time using a computer keyboard.  May require occasional light lifting (up to 20#). Requires attendance at meetings outside the workplace; requires attendance at meetings outside normal business hours.
