As the Operations Coordinator, you will be the backbone of their daily functions, ensuring the office runs smoothly and efficiently.
Primary Responsibilities
- Office Administration: Manage the front desk, including professional reception duties, visitor greeting, and mail processing.
- Scheduling & Coordination: Oversee the master calendar for appointments, internal meetings, and the allocation of conference room resources.
- Inventory & Procurement: Monitor office supply levels, manage vendor orders, and ensure all necessary materials are available for daily operations.
- Facilities Management: Maintain the standard of office cleanliness and act as the primary point of contact for facility maintenance and service requests.
- Internal Communication: Serve as a liaison between staff and senior leadership, assisting with the production of internal communications and updates regarding company events.
- Event Planning: Coordinate logistics for office-wide meetings, employee activities, and professional events.
- Vendor Management: Maintain relationships with service providers and equipment vendors to ensure seamless office support.
- Financial Assistance: Support the management team with budget preparation, expense tracking, and basic financial record-keeping.
- Onboarding & HR Support: Facilitate the orientation process for new hires and maintain organized records for personnel and project tracking.
- Technical & Project Support: Assist with the development of training materials and provide administrative bandwidth for special projects as needed.
- Logistics Oversight: Manage company-specific logistical programs, including vehicle fleet documentation and parking permit administration.
