Administrative Assistant (Legal/Law) – Entry-Level | Full-Time, On-Site

Our dynamic transactional law firm is seeking a detail-oriented and highly organized individual to join our firm in an entry-level role. This is an excellent opportunity for recent graduates or early-career professionals looking to build a career in legal accounting, wire operations, and real estate finance.

This is a full-time, on-site position based in our Central New Jersey office, Monday through Friday, 8:30 AM – 5:30 PM, with occasional flexibility for overtime. You will work directly under the Wire Specialist and Chief Closing Officer (CCO), gaining hands-on experience in a high-volume, fast-paced financial environment.

Key Responsibilities

  • Assist the Wire Specialist with daily wire processing and tracking of incoming and outgoing funds
  • Verify and confirm wire instructions, ensuring accuracy and compliance with firm protocols
  • Maintain organized records of all wire activity, confirmations, and supporting documentation
  • Input and manage financial and transactional data in Excel and internal systems (Quickbase training provided)
  • Monitor and track funding status across multiple files and follow up as needed
  • Assist with trust account-related administrative tasks and internal reporting
  • Review documentation for completeness and accuracy prior to funding
  • Communicate with internal teams regarding wire status and updates
  • Support general administrative functions, including file organization, scanning, and uploading documents
  • Assist with post-closing follow-ups and reconciliation support

Qualifications

  • Bachelor’s Degree required (Accounting, Finance, or related field preferred)
  • Strong proficiency in Microsoft Office, especially Excel
  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy
  • Ability to multitask and meet deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Professional demeanor and willingness to learn
