About the Role
This is an entry-level opportunity for a recent graduate seeking to build a career in operations, administration, and business management at a fast-paced creative agency. The role sits at the center of the organization and supports leadership, employees, and day-to-day office operations. It offers exposure to executive support, event planning, team programming, and strategic projects.
Key Responsibilities
Executive & Administrative Support
- Support the day-to-day needs of company leadership, including calendar management, scheduling, and task coordination
- Assist with travel planning and logistics
- Track and manage daily to-dos and priorities
- Help reconcile expenses, subscriptions, and company credit cards
Office Management (On-Site, 5 Days/Week)
- Serve as the primary on-site point of contact for the office
- Open and close the office, ensuring it is clean, stocked, and organized
- Manage office supplies, kitchen inventory, and general upkeep
- Coordinate mail, packages, and deliveries
- Oversee access to tools, equipment, and office systems
- Manage meeting rooms and office bookings across locations
Team & Culture Support
- Coordinate weekly team meals
- Plan and support employee programming such as happy hours, team events, and celebrations
- Assist with onboarding logistics for new employees
- Coordinate employee gifting and internal initiatives
Client & Hospitality Support
- Prepare for client meetings, including food, beverages, and setup
- Support in-office client experience and hospitality
- Support client and holiday gifting initiatives
Operations & Systems
- Support light IT coordination including software access and equipment tracking
- Help maintain organized systems for inventory, logins, and vendor coordination
Daily, Weekly, and Monthly Rhythm
Daily
- Open and manage the office
- Support leadership schedules and priorities
- Handle mail, deliveries, and office needs
- Ensure the office is fully stocked and functioning
Weekly
- Coordinate team meals
- Order supplies as needed
- Assist with time tracking and administrative reporting
Monthly and Ongoing
- Support events, gifting, and team programming
- Assist with expense reconciliation and subscriptions
- Contribute to strategic and operational projects
