Position Summary
LBX is a well-established and rapidly growing strategic investor, owner and operator of neighborhood and community shopping centers and multifamily properties throughout the US.
We are seeking an Operations and Data Analyst to manage operational data, vendor networks, and compliance systems across our retail and multifamily portfolio. This role is the connective tissue between property management, construction accounting, and asset management, ensuring vendor performance, lease and regulatory compliance, and the data infrastructure that supports it all. The ideal candidate is highly organized, process-driven, and comfortable building systems from scratch, with an interest in driving value via operations and data in commercial real estate.
Key Responsibilities
Data Management & Operational Systems
- Own operational data management and warehousing processes, ensuring property-level data is accurate, current, and accessible across systems.
- Collect and reconcile tenant sales reports per lease requirements; maintain dashboards to monitor sales performance and compliance.
- Build and maintain a utilities library — tracking accounts, rates, billing methodologies, and consumption data across properties.
- Support utility billing and reconciliation processes, including CAM allocations, sub-metering, and direct billing.
- Develop and maintain records and tracking systems to support reporting, audits, and ad-hoc analysis.
Vendor Management & Procurement
- Build and maintain a vetted vendor network across trades and service categories for the portfolio.
- Collect, compare, and track bids for maintenance and capital requests, coordinating between on-site teams and home office.
- Maintain and enhance the vendor contract database, including bids, certificates of insurance (COIs), W-9s, deliverables, key dates, and payment tracking.
- Support ongoing vendor relationship management in partnership with the Operations Team.
Compliance & Risk Management
- Manage the COI collection, tracking, and enforcement process for all vendors and tenants, ensuring coverage requirements are met and current.
- Monitor and enforce lease compliance requirements across the portfolio, including use restrictions, signage, operating hours, and maintenance obligations.
- Serve as the portfolio’s fire/life-safety lead — managing inspection schedules, violation tracking, remediation, equipment records, and vendor coordination.
- Support Operating Agreement (OA) compliance to ensure processes adhere to the terms of the agreements with our equity partners.
Qualifications
- Bachelor’s degree in Construction Management, Business Administration, Real Estate, Data Analysis, Engineering, or a related field.
- 1–3 years of experience in commercial real estate operations, property management, or a related analytical role (retail or multifamily preferred).
- Proficiency in Excel required.
- Experience with Yardi, Python, Claude/AI, Power BI, or SQL a plus.
- Strong organizational and process-building skills, with the ability to manage multiple properties simultaneously.
- Excellent attention to detail, especially in compliance and documentation contexts.
- Clear written and verbal communication skills.
