Bilingual Office Administrator
Job description
We are seeking a highly organized and detail-oriented Bilingual Office Administrator to support daily office operations. The ideal candidate is fluent in both English and Spanish and can effectively communicate with clients, staff, and vendors. This role requires strong administrative skills, professionalism, and the ability to manage multiple tasks in a fast-paced environment. This role provides essential administrative, operational, and organizational support to the Executive Director and project staff. This role ensures the efficient day-to-day functioning of the office, supports program operations, maintains accurate records, and assists with coordination efforts that advance KCC Academy of Chicago’s mission to reduce firearm violence, promote youth development, and build a safe and thriving community.
DUTIES AND RESPONSIBILITIES
• Provides administrative and operational support to the Executive Director and leadership team
• Coordinates, schedules, and documents meetings, including agendas, attendance, and meeting notes
• Maintains organized filing systems for program, financial, personnel, and grant-related documents
• Assists with budget tracking, expense reporting, and financial documentation under the direction of the Executive Director
• Supports grant administration by tracking deadlines, organizing compliance materials, and assisting with reporting requirements
• Serves as a point of contact for internal staff, vendors, consultants, and external stakeholders as assigned
• Manages office operations, including supplies, equipment, and general office needs
• Assists with on boarding paperwork, staff documentation, and basic human resources administrative tasks
QUALIFICATIONS
- Fluency in English and Spanish (spoken and written) required
- High School Diploma or GED equivalent Preferred 2–4 years of administrative, office management, or relevant work experience
- Proficiency with basic office software (Google Workspace, Microsoft Office, or similar platforms)
- Ability to track information accurately and maintain detailed records
- Strong written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Demonstrated professionalism, discretion, and reliability
- Experience working in nonprofit, community-based, or social service organizations preferred
