Office Professional

Responsibilities  

  • Greet in-person clients, both scheduled and non-scheduled, as first point of contact
  • Handle incoming telephone calls to Apeiro Wealth Group and respond to requests for information
  • Manage office voicemail ensuring reasonable response within same or next business day
  • Maintain calendars for Advisors, adjusting to scheduling needs on a weekly basis
  • Track and update internal mailing lists, birthday cards and monthly calling lists
  • Perform routine administrative duties such as maintaining office supplies and processing mail 
  • Assist in planning and inviting clients to events
  • Complete and follow up on documents and applications to ensure processing
  • Drive activity by scheduling meetings with clients and/or prospects on behalf of Advisors
  • Update the contact management system with client/member contact and preference information
  • Assist Financial Advisors in the preparation and follow up for the client/member meetings
  • Provide back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed
  • Maintain professional appearance and cleanliness of reception and conference room, including light cleaning and trash removal
  • Complete other miscellaneous tasks as assigned
  • The Office Professional will support the team of Advisors in multiple facets of client engagement.   They will be a primary point of contact for clients on a day-to-day basis.

  • Excellent communicator with a high level of in-person, phone and written communication skills

  • Able to work with multiple personality and work style types, shift gears quickly and efficiently
  • Attention to detail in all areas (nothing gets by you)

  • Ability to maintain the highest ethical, confidential, and professional standards
  • Proficient in Microsoft Office Suite, Outlook

 

Preferred Qualifications & Skills

  • Experience in the financial services industry (licensing a plus)
  • Experience with CRMs such as Salesforce
