Executive Assistant to CEO
Position Summary
The Executive Assistant to the CEO is a high-impact, execution-driven role responsible for ensuring priorities across the Quality of Life ecosystem are organized, tracked, and completed with excellence. This position serves as a direct extension of the CEO, helping to translate vision into action, maintain organizational alignment, and ensure that key initiatives do not fall through the cracks.
The ideal candidate is proactive, highly organized, solution-oriented, and thrives in a fast-paced environment. This individual does not wait for direction but anticipates needs, follows through consistently, and holds systems and people accountable to deadlines and expectations.
Key Responsibilities
Execution & Accountability
- Track all CEO priorities, initiatives, and follow-ups to ensure timely completion
- Maintain systems that monitor progress, deadlines, and deliverables across the organization
- Follow up with staff, leadership, and partners to ensure accountability and movement on key items
Executive Support
- Manage the CEO’s calendar with intentionality, ensuring alignment with priorities and strategic goals
- Coordinate meetings, calls, and engagements while preparing agendas and briefing materials
- Draft, review, and send professional communications on behalf of the CEO
- Ensure the CEO is prepared, informed, and positioned for all meetings and decisions
Operations & Coordination Across the Ecosystem
- Assist in organizing and executing meetings, events, and organizational initiatives
- Support onboarding, internal systems, and workflow improvements
Project & Systems Management
- Utilize tools such as Monday.com and other platforms to track projects, staff responsibilities, and progress
- Organize documents, reports, and key information for easy access and operational efficiency
Qualifications
- Strong organizational, time management, and follow-through skills
- Ability to manage multiple priorities and operate in a fast-paced environment
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and critical thinking
- Experience with project management tools (Monday.com preferred), Google Workspace, and Microsoft Office
