We pride ourselves on accuracy, professionalism, and strong client relationships. We are seeking a highly organized and dependable Operations & Scheduling Coordinator to help keep our projects and crews running smoothly.
Position Overview
The Operations & Scheduling Coordinator serves as the communication hub between clients, field crews, and project managers. This role manages, client communication, scheduling, invoicing, and daily administrative operations.
This position is ideal for someone who thrives in a fast-paced environment and enjoys balancing customer service with operational coordination.
Key Responsibilities
Client & Office Support
- Answer incoming calls and respond to client inquiries
- Provide project updates and scheduling information
- Maintain professional communication with clients and municipal offices
- Manage incoming emails and general correspondence
Crew Scheduling & Coordination
- Schedule and dispatch field crews based on workload and project priorities
- Coordinate daily with project managers and surveyors
- Adjust schedules as needed due to weather, client changes, or project demands
- Maintain accurate calendars and job tracking systems
Invoicing & Administrative Duties
- Prepare and send invoices for completed projects
- Track billing status and assist with payment follow-ups
- Maintain organized project files (digital and physical)
- Support overall office operations and workflow
Qualifications
- 2+ years of administrative, scheduling, or operations coordination experience
- Strong organizational and multitasking skills
- Excellent phone and communication skills
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with invoicing or QuickBooks (preferred)
- Experience in construction, engineering, or surveying (a plus)

Compensation & Benefits
- $50,000 – $65,000 annually (based on experience)
