Inventory Coordinator

Job Description:

The Inventory Coordinator is responsible for maintaining accurate and organized inventory records, coordinating the intake and tracking of equipment, and supporting purchasing and vendor communications. They assist with a wide range of inventory operations in a fast-paced, detail-oriented environment.

Duties/Responsibilities:Inventory Management and Data Entry

  • Enter new products and assets, including recording technical details, ensuring consistent naming, and tracking part numbers, model numbers, warranty periods, and other important specifications
  • Barcode, engrave, and label all products and cases
  • Oversee inventory reconciliation projects including investigating count discrepancies, tracking and registering warranties, and fixing product naming issues
  • Assist with physical inventory audits, including end-of-year reconciliation and multi-step reconciliation projects
  • Coordinate the in-house intake process for received equipment, including overseeing necessary intake steps beyond direct involvement
  • Coordinate with logistics to ensure products are received in a timely manner
  • Write purchase orders and receive products from POs
  • Correspond with vendors to ask questions and assist with equipment purchasing
  • Assist with equipment kit lists to ensure a consistent standard of excellence and a smooth, repeatable ordering process
  • Assist with the design of custom cases for new products
  • Order office supplies for inventory purposes including barcodes, labels, and printer ribbons
  • Order and manage expendables for sale to end clients
  • Track open departmental tasks, handle minutes, and ensure action items from weekly meetings are completed

Used Equipment Sales

  • Follow up on active sales leads and assist in generating new prospective buyers
  • Maintain and update the internal list of equipment designated for sale
  • Support the closing of sales transactions, ensuring a smooth and professional process from inquiry to completion
  • Assist with product photos for used equipment sales and website marketing
  • Adhere to and enforce company policies for used equipment sales, including warranty standards and platform guidelines
  • Assist in pulling, prepping, and scanning out used equipment sales orders, and work with other departments to QC outgoing gear

  • Exceptional organizational skills
  • Strong collaborator who can communicate effectively in a fast-paced environment
  • Interest in technically-driven data entry and learning how things work, not just what they are called
  • Strong attention to detail, especially as it relates to accurate technical information
  • Creative problem solver willing to manage large, complex inventory projects
  • Ability to perform routine tasks repeatedly and consistently
  • Ability to lift 50 pounds
  • Spreadsheet and Word document experience strongly preferred
  • Experience with inventory tracking and management a plus
  • Experience with rental inventory software a plus
  • Experience with film and digital cameras and lens equipment a plus

Working Conditions:

  • This is a full-time, on-site position during business hours (9 a.m. to 6 p.m.), Monday through Friday.
  • Role involves both desk work and physical tasks including lifting up to 50 lbs

Compensation & Benefits:

  • $50,000.00-$55,000.00 Competitive compensation based on experience
