Business Operations Intern – Job Description

Reports To: Executive Director

Status: Part-Time Internship (Paid)

Compensation: $12/hour + tuition credit

Term: Semester or Summer (Flexible)

Location: McMahon Foundation, Lawton, OK

Position Overview

The Business Operations Intern supports the administrative and financial workflows of the McMahon Foundation, with a strong focus on data entry, accounting assistance, grant management, and developing internal Standard Operating Procedures (SOPs). This role is ideal for students interested in accounting, business administration, nonprofit operations, or process and systems development.

Key Responsibilities

Data Entry & Record-keeping

 

  • Enter financial, grant-related, and administrative data into spreadsheets, databases, or accounting systems.
  • Maintain accurate and organized digital files and documentation.
  • Assist with updating dashboards, reconciliations, and tracking logs.
  • Perform quality checks to ensure accuracy and completeness of data.
  • Accounting & Financial Support
  • Assist with invoice processing, coding, receipt management, and payment tracking.
  • Help prepare monthly accounting folders and documentation.
  • Support routine reconciliations or financial cross-checks under supervision.
  • Maintain vendor and grantee financial records.

 

Grant Management Assistance

 

  • Track grant requests, award decisions, and reporting requirements.
  • Help assemble Board packets with grant summaries and supporting materials.
  • Maintain updated records of grant histories and active cycles.
  • Assist with documenting grant outcomes and collecting follow-up information from nonprofits.

 

SOP, Policies & Procedures Development

 

  • Work with the Executive Director to draft clear, organized Standard Operating Procedures (SOPs) for internal workflows.
  • Document step-by-step processes for accounting, grant management, communications, and administrative tasks.
  • Review existing policies and help identify opportunities for improvement or clarification.
  • Create templates, flowcharts, checklists, and process maps as needed to support standardization.

 

Administrative & Operational Support

 

  • Assist with mail handling, scanning, filing, and general office tasks.
  • Prepare supporting documents for meetings or presentations.
  • Support office organization and readiness.
  • Provide occasional assistance at community events or check presentations.

 

Qualifications

 

  • Strong attention to detail and accuracy.
  • Basic knowledge of Excel or Google Sheets.
  • Strong writing and organizational skills.
  • Interest in business operations, accounting, policy development, or nonprofit management.
  • Ability to maintain confidentiality.
  • Reliable and eager to learn.
  • Coursework in accounting, business administration, data analytics, or public administration.
  • Experience in writing process documents or using templates/checklists.
  • Familiarity with accounting or workflow software (helpful, not required).
