TITLE: Special Events Coordinator
Non-Exempt Position
Reports To: Special Events Manager
JOB SUMMARY:
The Special Events Coordinator works on a variety of aspects of special events, including, but not limited to: event logistics, recruitment of new event sponsors, development of new special event initiatives, secure auction items for at least one internal event and special projects. Specific responsibilities include:
- Assists the Special Events Manager on event logistics, including providing event sponsors with materials needed to execute events, coordinating volunteers, and collecting required paperwork. Assists in the maintenance of proper procedural guidelines (i.e. thank you letters, required forms, etc). Maintains Foundation’s cash-handling techniques and procedures.
- Aggressively pursues external event initiatives, including researching possible venues for events, soliciting potential event sponsors, and utilizing pool of resources to create fund-raising events.
- Is the local chapter liaison for fund‑raising events, specific programs within the organization, supports the development and enhancement of local relationships.
- Responsible for contacting regional businesses and donors to secure auction items for internal and certain external fund-raising events and organize all aspects of the auctions for Internal Events to include, but not limited to, prospecting for new package ideas, maintaining auction database (purging lapsed donors and supplementing with new donors), coordinating receipt of items, processing and documentation, ensuring proper presentation of items at event, and properly recognizing donors in event program or other necessary vehicles.
- Serve as the Foundation’s liaison for varies groups, including providing administrative support, attending regular meetings, and providing guidance to this volunteer auxiliary group.
- Attend Make-A-Wish events as required. Will require night and weekend work.
- Other duties as assigned. Collaborates with all areas of the foundation to deliver the highest quality events.

Qualifications:
The requirements included here represent the knowledge, skill and ability necessary to perform this job successfully:
- Bachelor’s degree preferred; significant work (2+ years.) experience can substitute for the degree.
- Ability to accomplish projects with little supervision.
- Successful experience creating and executing market plans and strategies.
- Ability to visit with event sponsors or other related opportunities throughout the chapter’s territory.
- Proficient using Microsoft Word, Excel, PowerPoint, Access and Outlook e-mail. Salesforce experiences a plus.
