Software Services Intern (Digital Operations)

THE OPPORTUNITY: BUILD WITH US

Are you looking for an internship where you actually build something that matters?

We are launching a brand-new Software Services department within our Technology Division, and we need an ambitious intern to be our foundational coordinator. As the enterprise software arm of a national mechanical contracting and fabrication company, our team evaluates, implements, and governs the technology platforms that power our entire business — from design and fabrication software to project management and field operations tools.

In this role, you will have a front-row seat to how a corporate technology department is built from scratch. You will work directly with the Software Services Manager and our Lead Systems Administrator to audit our tech stack, organize our vendor relationships, and help write the operational playbook for our enterprise technology.

This is not a sideline role. Your primary deliverables will have a direct impact on the company’s technology spend and operations. Strong performers may be considered for an extended part-time or follow-on opportunity.

 

WHAT YOU WILL ACTUALLY DO

The Detective Work — Master Software Inventory

You will track down, audit, and catalog every software license, subscription, and maintenance contract across the company to build our first-ever Master Software Inventory. This means working with accounting records, vendor portals, and department contacts to compile a complete picture of what we own, what it costs, and who uses it. This inventory becomes the foundation for every cost and licensing decision the department makes.

 

Vendor & Contract Management

You will map every renewal date, cancellation window, and auto-renewal clause into a master 12-month calendar to give leadership total visibility into our technology commitments. The goal: no more surprise renewals, no more lapsed contracts, and a clear line of sight into what’s coming due and when.

 

Documentation & SOP Support

You will assist the Manager in drafting Standard Operating Procedures (SOPs), platform administration guides, and internal policy documentation. You will use enterprise AI tools (in a

secure workspace) to accelerate drafting and formatting. This includes contributing to our AI Use Policy documentation as the company formalizes its approach to AI governance.

 

Department Architecture

You will help organize the new department’s shared resources, project spaces, and administrative documentation to ensure the team has a single source of truth. When someone asks “where is the contract for [tool]?” or “who owns this license?” — your work is the reason there’s an answer.

 

WHAT WE ARE LOOKING FOR

• The Organized Problem-Solver: You love taking a chaotic pile of information and turning it into a clean, highly organized, and functional spreadsheet or database. Messy data doesn’t frustrate you — it motivates you.

• Tech-Curious: You have an interest in Enterprise Architecture, Digital Operations, IT Management, or how software powers a modern business. You don’t need to be a developer — you need to be curious about how the systems connect.

• Strong Communicator: You can take rough notes or technical concepts and translate them into clean, professional documentation. If you can write a clear email and format a readable spreadsheet, you’re ahead of the game.

• Self-Starter: You are comfortable stepping into a newly formed team where the processes are still being written — because you will be the one helping to write them.

• Spreadsheet Proficiency: Strong working knowledge of Microsoft Excel or Google Sheets. You should be comfortable with sorting, filtering, basic formulas, and building clean data layouts. Experience with pivot tables or conditional formatting is a plus.

 

EDUCATION & BACKGROUND

Currently pursuing a degree in one of the following (or related) fields:

• Information Systems or Management Information Systems (MIS)

• Business Administration

• Construction Management or Construction Technology

• Computer Science or Information Technology

• Data Analytics or Business Intelligence

 

No prior experience in the mechanical contracting or construction industry is required. We will teach you the industry context — you bring the organizational skills and curiosity.

• Vendor & License Management: How corporate technology contracts work, what renewal negotiations look like, and how seat licensing affects budgets.

• Data Governance: How organizations manage data standards, naming conventions, and cross-platform integrations to keep enterprise systems aligned.

• AI in the Enterprise: How companies are adopting AI tools responsibly — including the governance, security, and policy considerations that come with it.

• Corporate Technology Operations: How a technology department operates inside a large, multi-trade construction company — from help desk workflows to strategic planning.

By the end of this internship, you will have tangible, high-level corporate experience that sets you apart. You will be able to tell future employers that you:

• Played a key role in launching a Digital Operations department from the ground up

• Conducted an enterprise-wide software audit and built the company’s first Master Software Inventory

• Built a vendor contract management system tracking [X] platforms and [X] in annual spend

• Contributed to corporate AI governance policy documentation

• Worked directly with department leadership in a small, high-impact team

 

This is not a generic IT internship. This is a chance to help build something new inside an established company — and walk away with a portfolio of work that proves it.

 

NICE TO HAVE (NOT REQUIRED)

• Familiarity with any of the following: Autodesk products, Bluebeam Revu, Microsoft SharePoint, Power BI, or Freshservice

• Experience with project management or task tracking tools (Asana, Trello, Monday, etc.)

• Exposure to construction technology, BIM, or AEC industry workflows

• Interest in or experience with AI tools (ChatGPT, Claude, Copilot, etc.)
