Job description:

The Arboretum is seeking a friendly, organized, and detail-oriented Office Coordinator to support daily administrative operations while helping advance our mission through marketing, volunteer engagement, and community outreach. This role is ideal for someone who enjoys working in a nonprofit environment, interacting with the public, and contributing to both behind-the-scenes operations and outward-facing communications.

The Office Coordinator serves as a key point of contact for visitors, volunteers, donors, and staff, ensuring a welcoming atmosphere, accurate financial handling, and consistent, mission-aligned communication.

Essential Duties & Responsibilities

  • Office Administration & Front Desk Operations
  • Coordinate daily office operations to ensure efficiency and a positive visitor experience
  • Greet visitors and respond to phone calls, emails, and general inquiries in a professional and welcoming manner
  • Manage calendars, meeting schedules, appointments, and shared spaces
  • Maintain organized digital and physical filing systems
  • Order and manage office supplies and coordinate with vendors and service providers
  • Support planning and logistics for programs, events, and seasonal activities

Financial & Money Handling

  • Handle daily cash, credit, and digital transactions including admissions, memberships, donations, and retail sales
  • Maintain accurate records for invoicing, deposits, billing, and petty cash
  • Assist with payroll processing and bookkeeping using QuickBooks or similar software
  • Support basic budgeting and financial reporting tasks
  • Follow established cash-handling and financial accountability procedures

Marketing, Communications & Design

  • Assist with marketing and advertising efforts to promote events, programs, memberships, and fundraising campaigns
  • Create, schedule, and monitor social media content across platforms
  • Design and update marketing materials such as flyers, signage, graphics, and digital content
  • Help keep the website and promotional materials current and accurate
  • Stay up to date on social media, marketing, and design trends relevant to nonprofit organizations

Volunteer Outreach & Community Engagement

  • Support volunteer recruitment, scheduling, communication, and outreach
  • Assist with volunteer onboarding and maintain volunteer records
  • Serve as a liaison between volunteers and staff to ensure a positive experience
  • Support community partnerships and outreach initiatives

Human Resources Support

  • Assist with employee onboarding and maintenance of personnel records
  • Support compliance with internal policies and procedures

Required Qualifications

  • High school diploma or equivalent required
  • 1+ years of experience in office administration, coordination, or related roles
  • Strong organizational skills with the ability to multitask and prioritize
  • Excellent written and verbal communication skills
  • Comfortable handling money and maintaining accurate financial records
  • Proficiency with basic office software (Microsoft Office or Google Workspace)

Preferred Qualifications

  • Experience working in a nonprofit, cultural, or community-based organization
  • Familiarity with QuickBooks or similar accounting software
  • Experience with social media management and marketing support
  • Basic graphic design experience using tools such as Canva
  • Experience coordinating or working with volunteers
  • Knowledge of website updates or content management systems

Work Environment & Physical Requirements

  • Primarily office-based with regular interaction with the public
  • Occasional evenings and available for weekend shifts
  • Ability to sit, stand, and move throughout the office and grounds as needed
