Operations Coordinator
Quality Services Moving is seeking a highly organized and proactive Operations Coordinator to join our team and support the smooth, efficient, and reliable execution of our day‑to‑day operations. The Operations Coordinator will play a key role in maintaining workflow continuity, improving operational efficiency, and ensuring that all service commitments are met with accuracy and professionalism.
Responsibilities
- Evaluate incoming service or shipment requests to determine logistical feasibility, resource availability, and overall operational impact, making informed decisions to accept or decline assignments.
- Coordinate daily operations by scheduling work, assigning personnel, securing necessary equipment, and ensuring all activities are completed efficiently and on time.
- Actively monitor workflow and seek opportunities to optimize productivity, including identifying backfill or supplemental workload to maximize resource utilization.
- Build and maintain strong working relationships with internal teams, customers, and external partners to support smooth operations and long-term business growth.
- Communicate regularly with customers and partners—both verbally and in writing—to provide updates on project or shipment status, resolve issues, and ensure service expectations are met.
- Oversee routine maintenance scheduling and operational readiness of company vehicles or equipment to prevent downtime and service delays.
- Support department leadership by helping manage team workflows for planners, coordinators, dispatchers, and support staff.
- Ensure tracking systems, software tools, and related operational platforms are functioning properly and updated for accurate monitoring and reporting.
- Maintain accurate documentation by creating, updating, and organizing files, database entries, and spreadsheets that support operational tracking and reporting.
- Respond promptly to internal and external inquiries via phone, email, and other communication channels to keep operations running smoothly.
- Perform additional operational support duties as assigned.
Ideal Candidate Skills
- 2+ years of experience in operations, logistics, transportation, military service, or a related field.
- Strong leadership, organizational, and interpersonal communication skills.
- Excellent problem‑solving abilities with a proactive, service‑focused mindset.
- Proficiency with MS Office, Windows-based systems, and other relevant software tools.
- Experience in household goods, relocation services, or similar operational environments is a plus but not required.
