Executive Administrative Assistant
We are a full-service law firm based in Monmouth County, NJ, with multiple offices throughout the Tri-State area. We are seeking a highly organized and proactive Executive Administrative Assistant to provide direct support to our Chief Closings Officer (CCO). This role is ideal for an individual who thrives in a fast-paced legal environment, demonstrates exceptional attention to detail, and is eager to build a long-term career within a growing firm.
This is a fully in-office position; remote or hybrid arrangements are not available. We welcome both entry-level and experienced candidates. Compensation will be commensurate with experience.

Key Responsibilities
- Provide comprehensive administrative and operational support to the CCO, including calendar management, meeting coordination, and preparation of materials.
- Draft and edit correspondence, reports, and internal documentation with precision and professionalism.
- Draft client communications and maintain organized, accurate file updates.
- Assist in managing high-priority projects, ensuring deadlines are met and follow-ups are completed.
- Maintain strict confidentiality of sensitive information and exercise sound judgment in communications.
- Handle incoming calls, emails, and inquiries on behalf of the executive, ensuring timely and professional responses.
- Organize and maintain digital and physical filing systems.
- Support legal and administrative workflows to ensure seamless coordination across departments.
- Collaborate closely with administrative and closing teams to maintain operational efficiency.
Qualifications
- Prior experience as an executive assistant, administrative assistant, or in a similar support role; legal or professional services experience preferred but not required.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and the ability to manage multiple priorities simultaneously.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills and the ability to work in a collaborative, team-oriented environment.
- Self-motivated with a desire to grow professionally within a structured and high-performing legal setting.
