The Role 

This is an administrative role at its core — and so much more. As an Associate in the CEO's Office, you will be the organizational backbone supporting our Chief Executive, ensuring the day-to-day operations of the executive office run seamlessly. You'll manage schedules, communications, travel, and key administrative processes that keep the business moving. 

 

But this role is also designed as a launching pad. We view this position as one of the best seats in the house — a unique vantage point from which you'll gain exposure to every function in the business, build relationships across the organization, and develop a deep understanding of how a company operates at its highest level. For the right candidate, this role is an intentional first step toward broader opportunities within the business.

What You'll Do 

Calendar & Schedule Management 

Proactively manage and prioritize the CEO's calendar and the Business Process Calendar — coordinating meetings, appointments, and events with precision 

Anticipate scheduling conflicts and resolve them before they arise, ensuring optimal use of the CEO's time 

Communications 

Serve as the primary point of contact for the CEO, screening and directing incoming communications appropriately 

Draft, proofread, and edit emails, memos, reports, and correspondence on behalf of the CEO 

Travel Coordination 

Plan and coordinate end-to-end travel itineraries, including flights, accommodations, ground transportation, and visas 

Prepare travel expense reports in line with company policies 

Meeting Support 

Prepare agendas, presentations, and supporting materials for the CEO's internal and external meetings 

Take accurate meeting minutes, track action items, and follow up to ensure completion 

Consolidate and distribute functional monthly reports 

Document & Information Management 

Maintain and organize sensitive corporate documents with strict confidentiality and discretion 

Handle all privileged information with the highest level of integrity 

Project Coordination 

Support the execution of special projects as directed by the CEO 

Collaborate with cross-functional teams to track progress and ensure milestones are met 

Stakeholder & Relationship Management 

Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and board members 

Assist with hosting VIP partners and visitors to the executive office 

Prioritization Support 

Help the CEO manage their workload by identifying and escalating tasks based on urgency and strategic importance 

 

Who You Are 

You don't need to have your entire career mapped out — we're looking for someone early in their journey who brings the right qualities to grow with us. You might be a great fit if you: 

Recently graduated (or are about to) with a Bachelor's degree in any field — we're more interested in how you think than what you studied 

Have a GPA you're proud of and aren't afraid to share it (please include your GPA on your resume) 

Are the person who catches the typo everyone else missed 

Naturally think a few steps ahead and take action without being asked 

Are endlessly curious — you ask questions, connect dots, and want to understand the "why" behind things 

Can juggle multiple tasks without dropping the ball, even when priorities shift 

Know how to be trusted with sensitive information and act with maturity and discretion 

Are comfortable with Microsoft Office (Word, Excel, PowerPoint, Outlook) or eager to get up to speed quickly 

Communicate clearly — whether in writing or in person 

 

No prior executive support experience required. What matters most is your mindset, your work ethic, and your curiosity.
