Legal Assistant

This is an entry-level position providing concierge-style, high-level assistance to attorneys, including handling administrative tasks, travel, calendars, and document management, as well as paralegal tasks and projects, while collaborating with other team members to ensure superior service. This position also entails assisting case teams at trials, including preparing documents for court, so extended travel may be required. While in the office, Legal Assistants also help provide coverage at reception, including sitting at the reception desk, answering the main line and transferring calls, booking conference rooms and determining meeting needs, ordering food and beverages, and registering and greeting visitors.
Essential Duties & Responsibilities
- Maintain attorney calendars, including scheduling and updating appointments and meetings.
- Monitor, organize, and facilitate incoming and outgoing email and mail for attorneys.
- Screen and direct telephone calls to attorneys.
- Book travel arrangements for attorneys and maintain attorneys’ travel rewards information.
- Prepare expense reports for attorneys.
- Record time for attorneys.
- Maintain attorneys’ bar and admissions information and assist attorneys in meeting CLE requirements.
- Coordinate logistics and provide support for meetings, including greeting and assisting guests, and printing and delivering meeting materials.
- Work with paralegals to ensure that attorneys have preparation materials for meetings, depositions, jury exercises, and court appearances tailored to their preferences.
- Catalog case materials and perform other data entry.
- Create hard-copy and electronic binders, coil-bound materials, and other review materials for attorneys, and quality-check the information for accuracy.
- Assist with proofreading and formatting filings, including adding and updating basic tables of contents and authorities.
- Create redlines and document comparisons.
- Collect and organize case law and prepare this information for attorney review.
- Assist case teams at trials, including assisting with preparing witness files and cite-checking slide decks and outlines.
- Provide other support to case teams when needed, including making local and trial court deliveries/pick-ups and completing other errands.
- Assist attorneys with speaking engagements, attending awards ceremonies, and similar.
- Provide coverage for reception, including sitting at the reception desk, answering the main line and transferring calls, checking the firm voicemail and eFax, booking conference rooms, determining meeting needs, ordering food and beverages, registering and greeting visitors, and circulating the Daily Docket.
- Other duties as assigned.
Minimum qualifications and requirements include:
- Minimum of 2 in-office internships performing clerical, administrative, and logistical work
- Ability to handle multiple tasks and prioritize appropriately
- Sound technical and computer knowledge, as well as excellent analytical, communication, and organizational skills
- Strong proficiency in Microsoft Office Suite, Adobe, and document management systems
- Bachelor's degree with a 3.25+ GPA upon graduation
- Ability to travel to trial sites and work overtime as needed
