Office Administrator/Front Desk

Position Summary

This Office Administrator/Front Desk will work as an integral member of our team and be involved in all aspects of managing the firm's operational and administrative activities:

 

Administrative support:

  • Greet and assist visitors at the front desk
  • Answer and route incoming calls on the main phone line
  • Manage office calendars, conference rooms, and meeting resources
  • Assist with travel coordination and scheduling changes
  • Maintain office supply inventory and place orders as needed
  • Keep the kitchen and shared office spaces organized and fully stocked
  • Coordinate mail, deliveries, and incoming packages
  • Prepare, scan, and organize documents; manage electronic and hardcopy filing
  • Draft simple correspondence and support internal communication needs
  • Assist with onboarding new employees (desk setup, access badges, welcome materials)
  • Act as a point of contact for building management and external IT support
  • Assist with office events, team lunches, and firm gatherings
  • Support Operations with light administrative projects as assigned
  • Provide support to senior executives

 

Qualifications:

  • 1-2 years of office experience; financial services, investment management, or related experience is a plus.
  • Outstanding verbal and written communication skills.
  • Display professional demeanor
  • Excellent interpersonal and organizational skills.
  • High degree of proficiency with Microsoft Outlook, Excel, Word, and PowerPoint;
    experience with other databases (such as QuickBooks) is a plus.
