Operations Program Specialist
Position Overview
The Operations & Program Specialist supports the coordination and delivery of OAWWA’s programs, events, and administrative operations. This hands-on role strengthens organizational efficiency by managing logistics, maintaining accurate data systems, and ensuring consistent execution across staff, volunteers, and partners.
The ideal candidate is highly organized, detail-oriented, and comfortable working in a structured, deadline-driven environment.
Key Responsibilities and Essential Functions
Program & Event Execution
- Coordinate and execute workshops, trainings, and professional events across Ohio
- Manage logistics including venues, vendors, AV services, registration systems, attendance tracking, and post-event reporting.
Operational Systems & Documentation
- Maintain organized data systems
- Develop and update administrative templates and procedures
- Support process improvement and document control initiatives
Stakeholder & Member Support
- Collaborate with volunteer committees, vendors, and partners to ensure timely communication, coordinated planning, and professional follow-through.
- Respond to member and public inquiries as needed.
Reporting & Administrative Coordination
- Track program participation metrics
- Support invoice and vendor coordination
- Assist with special projects and recurring operational responsibilities under the direction of the Executive Director.
Qualifications
Education & Experience
- Bachelor’s degree in business administration, communications, or related field preferred
- Equivalent professional experience will be considered
- Two (2) to four (4) years of experience in event coordination, nonprofit operations, or program management required
- Experience with association or membership organizations preferred
Skills & Competencies
- Proficiency in Microsoft 365 (Outlook, Excel, SharePoint required)
- Experience with project management systems and virtual meeting platforms
- Experience with MemberClicks, Asana, Canva, or similar platforms preferred
- Strong written and verbal communication skills
- Excellent time-management and organizational abilities
- Ability to work independently while maintaining collaborative relationships within a volunteer-led structure
- High attention to detail and commitment to quality
Work Environment
- Fully remote organization; candidate must reside in Ohio
- Approximately 25% in-state travel for programs and conferences, including occasional early mornings, evenings, and overnight stays. Reliable transportation to program locations is required.
- This is a full-time, exempt position requiring flexibility during peak program periods.
- Onsite event support requires the ability to lift and transport materials up to 25 pounds, stand or walk for extended periods, and assist with event setup and breakdown. These functions are considered essential to the position. Reasonable accommodations will be provided in accordance with applicable law.
