Description
Arrowmont is seeking a versatile and proactive Guest Relations and Communications Coordinator to support the intersection of marketing, communications, and student registration. The Coordinator ensures the "first and last impression" of the school is professional and welcoming, moving seamlessly from campus tours and rental registration to data management and internal brand stewardship.
Reporting to the Director of Marketing & Communication, you will assist in day-to-day administrative operations, provide top-tier customer service, and help execute the communication strategies that keep the Arrowmont community engaged throughout the year.
DUTIES AND RESPONSIBILITIES:
1. Guest Experience & Public Information
- Serve as a primary point of contact, greeting visitors, answering phones, and leading campus tours with an emphasis on Arrowmont’s mission and offerings.
- Accurately process payments for workshop/event registrations and facility rentals.
- Serve as the internal point of contact for rental groups; coordinate arrivals/departures and handle campus-wide communication to ensure needs are met for the duration of their stay.
- Maintain a warm, tidy, and inviting entry environment; ensure all marketing materials (brochures, catalogs, flyers) are stocked, current, and organized.
- Act as a knowledge base for questions regarding Arrowmont’s history, programs, registration process, and campus logistics.
2. Marketing, Development & Registration Support
- Coordinate the physical assembly and sorting of large-scale marketing and fundraising mailers.
- Perform precise data entry to support Registration; assist with the organization and maintenance of institutional files for both Marketing and Development.
- Utilize basic graphic design skills to update existing templates for internal documents, handouts, and promotional flyers.
- Print and organize professional packets for instructors and staff; as well as support with printing and assembling student nametags, and campus materials.
3. General Administrative Assistance
- Assist with "All Team" emails and contribute updates to the staff intranet to keep the campus connected.
- Provide "all-hands-on-deck" assistance during peak event seasons or high-traffic workshop cycles, including supporting evening receptions for students or potential donors, and annual fundraising events.
- Monitor and order office supplies for all departments, ensuring the team is properly equipped. This includes ordering nametags and business cards for all team members.
- Other administrative duties as assigned.
Requirements
- Experience: 1–2 years of experience in customer service, front-office administration, or a related field.
- Tech & Design Skills: Proficiency in Microsoft Office; basic experience with graphic design tools (e.g., Canva or Adobe Creative Suite).
- The "Detail" Factor: An eagle eye for typos, data accuracy, visual consistency, and financial transactions.
- Communication Style: A friendly, professional demeanor with the ability to handle inquiries with patience and clarity.
- Schedule: Dedicated desk and computer provided; weekend work is required to support student check-in for workshops, campus rentals?and events.

- This position is sometimes physically demanding and requires the employee to walk unaided up and down hills and over uneven terrain, bend, stoop, reach above their head, have use of fine and gross motor skills, and work in close quarters.
- The position may require travel and the ability to drive various types of vehicles on and off campus, and thus the employee would need a driver’s license.
- The employee may occasionally lift and/or move heavy objects or boxes weighing up to 50 lbs.
- While performing the duties of this job, the employee is frequently required to sit, talk and hear. The employee is occasionally required to walk; utilize frequent fine manipulation with hands and fingers; and have ability to reach with hands and arms and must be able to communicate effectively.
