Sales Coordinator

The Sales Coordinator position is full-time. Applicants must be willing and able to attend once-a-quarter meetings in Warrenville, IL, and have a dedicated, private workspace as a home office. The position will include a wide variety of responsibilities, including but not limited to:

Customer & Account Support

  • Onboard new customers by collecting required information and entering data into the ERP system
  • Serve as the primary point of contact for customers regarding order status and inquiries
  • Maintain ongoing communication with customers on outstanding POs and identify opportunities for fill-in orders
  • Partner with Account Managers to communicate delays, propose solutions, and support customer needs
  • Create customized customer catalog documents upon request
  • Participate in trade shows by preparing reports, coordinating meetings and possibly participating on-site at some shows (some travel required) 

Order & Inventory Management

  • Enter and manage customer purchase orders in the ERP system to ensure accurate and on-time delivery across varying levels of complexity
  • Proactively update sales orders to reflect changes and maintain accuracy
  • Monitor inventory arrival dates against order delivery dates, split orders as needed, and coordinate with the Order Fulfillment Specialist to ensure proper processing and shipment
  • Run stock, order maintenance, and advance order reports to identify issues, early ship opportunities, and reorder needs
  • Generate bi-weekly Low Inventory Reports (LIR) and complete weekly follow-up tasks, including order research, MOQ verification, and allocation decisions

Systems, Reporting & Process Improvement

  • Perform ongoing ERP data maintenance to ensure accuracy of customer and order records
  • Maintain CRM data in partnership with Account Managers
  • Run monthly draft quote reports and other recurring reports as needed
  • Enter and manage Asana product design projects with a high level of detail, ensuring accuracy, completeness, and timely execution of all assigned tasks
  • Identify opportunities to improve processes, exceed customer expectations, and support department SOPs

Required Experience and Skills: 

  • At least two years of experience in sales support, order management, or a similar role managing complex orders and customer communication in a fast-paced environment
  • Experience working with an ERP system or similar inventory/order management system
  • Proficient in Excel/Google Sheets
  • Very comfortable with technology
  • Experience with Asana or other project management tools is a plus
  • Exceptional attention to detail, with the ability to manage complex orders and identify small issues that can have a significant downstream impact
  • Ability to manage multiple priorities simultaneously in a fast-paced sales environment without becoming overwhelmed
  • Strong organizational skills, including the ability to track numerous tasks, deadlines, and requirements across multiple orders
  • Clear, direct, and adaptable communication skills, with the ability to tailor messaging appropriately for customers and internal sales partners
  • Customer-focused problem solver, able to handle questions, concerns, and order-related issues with professionalism and sound judgment
  • Strong critical thinking skills, including the ability to assess situations, ask the right questions, and determine appropriate next steps
  • Resourceful and proactive, capable of navigating systems and processes to ensure all order requirements are addressed
  • Reliable follow-through and strong memory for details, with the ability to anticipate needs and support the sales team effectively
  • Interest in developing a deeper understanding of the sales process, with the potential to take on increased responsibility or manage smaller accounts over time
  • Sales-minded approach, with curiosity about how orders, timelines, and customer communication impact the broader sales cycle

The base salary range for this position is between $48,000 to $ 66,526. Base salary ranges may vary by geographic location and relevant experience, education, certifications, and years of experience. There is no guarantee an offer will be at the top of the posted range based on the salary analysis
