Facilities Workflow Specialist

FTE: 1.0

 

Compensation: $63,695- - $69,623 DOE, benefits eligible, Non Union, exempt

 

Calendar: 260 Work days

 

Benefits include: a comprehensive benefit plan, Montana State retirement plan (PERS) PLUS 9 holidays, 15-days paid vacation, 12-days sick leave and 3 personal days to start.

Overview:

The Facilities Workflow Specialist will generate, resource and track to completion all emergency, urgent and routine work orders across the school district. They will manage these work orders to allow all maintenance and grounds personnel to perform work including (but not limited to) HVAC, plumbing, electrical, carpentry, grounds and athletic field maintenance, irrigation, snow removal, as well as other various repairs as needed. The Workflow Specialist will be responsible for coordinating work not possible by internal staff with qualified contractors.

 

Job Responsibilities:

Working for the Assistant Director of Facilities, the employee will:

  • Plan, coordinate, and organize the daily maintenance operations, activities, and communications for the facilities department
  • Create, assign, and coordinates work orders
  • Prepare and processes contracts
  • Coordinate facilities maintenance and repair projects
  • Procure and maintain parts, supplies and tool inventory for disbursement in support of work order execution
  • Train facilities and school district end users on utilization of the work order software
  • Use work order software to develop metrics to determine:
    • Facilities conditions
    • Priority of work
    • Work order execution rate
    • Whole-of-facility repair vs. replacement strategies
    • Various other decision points as needed
  • Perform other related duties as assigned

Knowledge, Skills and Abilities:

Employee must be able to collaborate closely with school district staff and school employees as well as vendors, contractors, and other agencies to understand the work to be performed and timelines for completion.

Some projects may require flexible hours as work would need to be performed before or after normal school hours.

Employee must possess tolerance, understanding and knowledge of school rules and

procedures and execute work while minimizing disruption to maintaining the educational environment.

Minimum Qualifications:

  • Employee must have a strong working knowledge of automated work order tracking systems such as (but not limited to) Maximo, Brightly, Gridbase, OperationsHERO etc.
  • Five years of relevant experience.

Preferred Qualifications:

Associate’s Degree in facilities management or related field/trades

Physical Demands:

May be required to work during critical demand periods, emergency situations, weekends, evenings, or scheduled vacations. Employees in this position may be required to work outside of normal work days and office hours to meet installation deadlines. Holiday weeks may be rescheduled to accommodate the school's needs for required facilities installations, repairs, or maintenance.
