Student Accounts Assistant
The Student Accounts Assistant supports the accuracy and efficiency of student account operations. This role manages key financial processes, including student refunds, external communications, and billing reconciliations—and serves as the primary point of contact for walk-in inquiries. The position plays a critical role in maintaining data integrity and ensuring consistent service within the department. The Student Accounts Assistant also assists with other essential financial functions as needed. This position reports to the Director of Student Accounts.
Essential Duties and Responsibilities:
Support the MSMU and the Accounting and Finance team through the following:
- Oversee daily operations of the Mount Card Office.
- Input meal plans into J1 and upload data into Atrium.
- Manage University Flex and Mount Money accounts.
- Create and print Mount Cards for students, employees, and approved suppliers using Premisys, Cognito, and MyMount.
- Link Mount Cards to profiles in Atrium.
- Support Orientation by providing meal plan and Mount Card information.
- Reconcile meal plan, Flex, and Mount Money accounts across Atrium, Jenzabar, and Workday.
- Process and verify student refunds, including uncashed check review and escheatment procedures.
- Resolve billing term discrepancies through appropriate journal entries.
- Monitor outstanding refunds and coordinate escheatment compliance with the finance team.
- Manage walk in traffic and provide accurate guidance to students and families.
- Respond to student account inquiries via phone and email.
- Assist during peak periods such as payment deadlines and semester starts.
- Responsible for mass student communication through J1Web students and parents.
- Perform additional tasks assigned by the manager, including document review, follow up communication, and overflow processing.
- Provide cross functional support during staff absences or high volume periods.
- Participate in team meetings, training sessions, and professional development activities.
- Maintain communication with the Director of Student Accounts and escalate policy concerns or emerging trends.
- Other duties as assigned
Job Requirements: Education, Experience and Skills:
- Associate’s degree in accounting or related field with a minimum of two years of administrative, bookkeeping, or billing experience.
- Demonstrated ability to take initiative, work independently, and apply discretion in resolving issues effectively.
- Detail oriented with strong organizational and communication skills and an ability to multi-task.
- Excellent customer service skills with a professional demeanor.
- Experience with data entry, payment processing, and financial reconciliation Working knowledge of the Microsoft Suite (Excel, Word, Outlook, and Teams) and experience with accounting software programs, with preferences towards Workday
- Ability to maintain confidentiality.
Minimum Pay Rate: $20.00/hour
