Retail Tenant Coordinator

Summary

The Retail Tenant Coordinator supports retail tenants from lease execution through opening and closeout. This role coordinates tenant onboarding, construction activity, tenant allowances, and lease expiration processes while serving as a key liaison between tenants, property management, and internal teams.

Key Responsibilities

  • Coordinate onboarding of new retail tenants and collect required documentation
  • Review tenant construction plans for lease and property compliance
  • Work with tenants throughout the construction process and assist in obtaining Certificates of Occupancy
  • Review and approve tenant improvement allowance requests per lease terms
  • Track tenant openings, lease expirations, and coordinate tenant file closeout
  • Maintain accurate and complete tenant files and records
  • Serve as a primary point of contact between tenants, leasing, property management, and accounting

 

The Retail Leasing Associate supports the execution of leasing for retail assets within the company’s portfolio. This entry-level role partners closely with senior leasing managers to source prospects, qualify tenant opportunities, conduct property tours, prepare financial analyses, and facilitate proposals and lease documentation.

Key Responsibilities

  • Leasing & Pipeline Management
    • Qualify inbound leads; schedule and conduct property tours alongside senior staff.
    • Prepare and coordinate proposals, counterproposals, Letters of Intent (LOIs), and basic deal terms.
    • Maintain current suite availability
    • Support negotiation processes by gathering financials, use details, and tenant approvals.
  • Market Research & Canvassing
    • Conduct field canvassing and desk research to identify target tenants and competitive set.
    • Track retail trends (category performance, rent comps, concessions, TI norms, co‑tenancy patterns).
    • Compile comparative lease analyses and summary memos for internal decision-making.
  • Marketing & Collateral
    • Partner with marketing to update listings 
    • Ensure all online listings and signage are accurate, current, and brand‑compliant.
