Records Services Representative / Assessor Dept
JOB DESCRIPTION: The purpose of this position is to provide prompt and efficient customer service to the general public for the office of the Recorder of Deeds. As a representative for the Recorder of Deeds, the deputy records documents that meet state recording requirements, issues marriage licenses, and provides document duplication of archived records. Work is performed under the direct supervision of the Sr. Clerical Supervisor.
- Support and assist team members to accomplish daily objectives such as ensuring documents meet state recording requirements; including scanning, cashiering, indexing, and verifying.
- Prepare rejection notices for unrecordable documents and return to sender.
- Issue and record Marriage Licenses
- File federal and state tax liens; purge records to comply with the Secretary of State retention schedule.
- Collect, file and record Military Discharge documents.
- Respond to request for duplication of archived records via fax, email, or mail; certify on behalf of the Recorder if needed.
- Sort and distribute mail.
- Receive and process check, credit card, and electronic payments made to the office.
- Answer phones and greet the general public; Assist with various inquires.
- Record and issue documents at main floor customer service window.
- Rotate weekly job tasks for interdepartmental duties; involves 0-25% telecommuting.
- Perform other duties as assigned.
REQUIREMENTS:
Education
- General or Technical high school diploma or equivalent
Job Experience
- 3-5 years of customer-facing office experience.
- 1-3 years of experience with data entry and/or significant word processing.
Knowledge, Skills and abilities
- Knowledge of State, County, and Department statutes, policies and procedures preferred.
- Must be able to communicate clearly both verbally and in writing.
- Must have working knowledge and ability to use virtual conferencing platforms, Microsoft office and basic computer skills.
Requires successful completion of Basic Skills Testing. This can be administered in-person or at-home via proctored testing.
