Development Associate
General Description / Primary Purpose
This position provides administrative and secretarial support to the Director of Development for Corporate Relations and Major Gifts and the Director of Planned Giving. This position interacts with all of the departments within the division, all university Vice Presidents, UNF Foundation members, UNF Board of Trustee members and outside constituencies. This position will attend Foundation Board and committee meetings to record and transcribe minutes and to facilitate Foundation Board special events. This position will also attend division meetings to help facilitate and record and transcribe minutes.
Job Function
Responsibilities include, but not limited to:
Coordinates internal and external contacts and communications for the Foundation and Development office.
Maintains supervisors’ calendars and composes and signs routine correspondence.
Assist with monitoring and tracking of E&G and Foundation budget expenditures.
Compiles and organizes material relating to fundraising activities and meetings.
Assists in gathering information for spreadsheets and preparing material for supervisor’s use in developing presentations and reports.
Arranges for meetings, conferences and social functions for Foundation and Development Office events. These arrangements include assisting in composing, printing, and sending invitations; determining appropriate location, room space and time; coordinate catering; notifying police for parking location and reservations; and ensuring the proper signage is displayed.
Maintains inventory and handles purchasing of office supplies.
Makes travel arrangements and handles all paperwork involved in reimbursement for travel expenses for the Directors of Development, Major Gifts and Director of Planned Giving.
During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.
Required Qualifications
High school diploma and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
