Administrative Assistant

Stein Law is seeking a highly organized and proactive Administrative Assistant to support the staff of our law firm. This role requires multitasking abilities, strong communication skills, and a high level of confidentiality. The assistant will handle a wide range of administrative and executive support-related tasks.

Stein Law specializes in estates and trusts, corporations, tax controversy, and tax planning, with more than 40 years of combined experience assisting startups, entrepreneurs, and multi-generational family businesses with the formation and operation of their businesses, beginning with planning and entity selection designed to achieve our client’s short-term and long-term objectives.  We represent a variety of entity types operating throughout the world and their life cycle.

 

Key Responsibilities

  • Manage and coordinate the Partner’s calendar, including scheduling meetings, client consultations, and travel arrangements.
  • Serve as the first point of contact, handling and screening calls, emails, and other correspondence.
  • Draft, proofread, and organize legal documents, client files, and other sensitive information.
  • Prepare meeting agendas and track follow-up action items.
  • Assist with client communications, scheduling, and maintaining a high standard of client service.
  • Track the Partner’s time and monitor the progress of ongoing cases, projects, and business initiatives.
  • Assist with client billing, including tracking time, expenses, and outstanding invoices.
  • Perform various administrative tasks, such as handling confidential information, ordering office supplies, processing mail, and coordinating with other departments as needed.

Qualifications

  • Bachelor’s degree or actively pursuing a degree.
  • Excellent written and verbal communication skills with strong attention to detail and professionalism in handling confidential information.
  • Strong organizational, multitasking, and prioritization abilities with an exceptional ability to manage competing deadlines.
  • High level of emotional intelligence, diplomacy, and the ability to build effective relationships with clients, colleagues, and external partners.

Salary

  • $40,000 to $45,000 depending on experience
