Program Coordinator

Job Title: Program Coordinator
Reports to: PE Program Manager
Department: Camps
Employment Status: Non-Exempt Seasonal
Overall Function: The Program Coordinator serves as the primary on-site liaison for client coordinators and plays a central role in delivering safe, intentional, and high-quality camp experiences. This position oversees program logistics, staff coordination, camper experience flow, and problem-solving throughout each program week.
In alignment with American Camp Association (ACA) standards, the Program Coordinator supports effective supervision, risk management, clear communication, and consistent documentation while modeling exceptional customer service and leadership for staff and guests.
Summary of Responsibilities
1. Program Planning & Coordination
a. Oversee the delivery of intentional, high-quality camp experiences for campers and staff by proactively identifying and responding to program needs.
b. Finalize and distribute weekly camp schedules and cabin assignments in coordination with Camps Program Managers.
c. Draft schedules reviewed 2–3 weeks prior to program start.
d. Final schedules and program write-ups approved no later than one week prior to program start.
e. Includes zone schedules/flow, meal details, staffing, and operational logistics.
f. Identify and communicate Camp Brain registration updates and changes while preparing each program.
g. Collaborate with Camps Managers, Coordinators, and other Camp Joy departments to coordinate shared spaces, resources, staffing, and equipment.
h. Communicate client-specific needs, changes, and expectations clearly and promptly to all appropriate staff.
2. Camper Experience & Supervision
a. Oversee the camper experience from check-in through check-out, ensuring smooth transitions and consistent supervision.
b. Support camper behavior management and mediation processes, including communication with guardians when appropriate and in accordance with Camp Joy policies.
c. Plan, train, and promote positive reinforcement strategies that support camper growth, inclusion, and safety.

3. Staff Leadership & Support
a. Provide as-needed operational and supervisory support to program and activity areas.
b. Support staff development through training, coaching, and evaluation processes.
c. Actively lead weekly staff meetings and contribute to all-staff meetings.
d. Serve as the primary point of contact for on-site problem-solving and decision-making.
4. Client, Guardian & Administrative Responsibilities
a. Serve as a point of contact for guardians in select situations, ensuring clear, professional communication.
b. Coordinate with the Camp Registrar to accurately track and update participation for the Summer Food Service Program (SFSP).
c. Plan, write, and implement opening campfires, block parties, and Unit Nights.
d. Support end-of-program slideshows and reinforce best practices for photo and video collection, organization, and storage.
5. Risk Management & Compliance
a. Follow and uphold all Camp Joy policies, procedures, and safety guidelines; model leadership expectations for staff.
b. Perform scheduled on-call duties and serve as a leader during camp emergencies in accordance with emergency action plans.
c. Complete required documentation accurately and on time, including incident reports, health screenings, and course usage forms.
Performance Measures
• Achieves an average rating of “meets or exceeds expectations” on staff evaluations.
• Receives average program client evaluation scores of 3.85 or higher for specialty camps.
• Achieves 96% or higher on camper outcome evaluations related to campers reporting they had fun at camp (agency camps).

Minimum Qualifications
• Minimum of 21 years of age or older
• Bachelor’s degree or 4+ years of youth programming experience preferred; significant camp leadership experience strongly valued.
• Demonstrated experience in program development, scheduling, logistics, and leadership.
• Strong communication, organizational, and problem-solving skills; adaptability required.
• Prior supervisory or leadership experience preferred.
• High standard of customer service.
• Ability to coordinate effectively with staff, campers, client groups, guardians, and internal departments.
• Ability to maintain active professionalism for extended periods (12+ hours) in varied outdoor conditions.
• Valid driver’s license.
• Physical Requirement:
o Ability to lift, carry, and assist with loads of up to 50 pounds, including program equipment and, when necessary, assisting campers in safety-related or emergency situations.
