About the Role
The Business Operations Associate runs the daily engine of the company. This role owns scheduling, dispatching, people coordination, and operational follow through. When the operation runs smoothly, this role made it happen. When it does not, this role steps in and fixes it.
This is a hands-on position for someone who understands how service businesses succeed or fail at the operational level. You will bring structure to chaos, enforce standards, and ensure work moves from promise to completion. You will work directly with the Managing Director and act as the central point of control between customers, field teams, and internal systems.
A strong bilingual English and Spanish speaker is highly preferred, as clear communication across teams and customers is essential.
Key Responsibilities
• Own daily operations and ensure schedules, routes, and assignments are executed without gaps
• Manage scheduling and dispatching for field teams, adjusting in real time to protect service commitments
• Control the daily workflow between customers, technicians, and leadership
• Invoice clients accurately and on time once work is completed
• Oversee day to day HR administration including hiring coordination, onboarding, training support, and employee records
• Enforce company policies, attendance standards, and workplace expectations
• Support performance tracking, time management, and corrective action when required
• Maintain accurate job records, service details, and customer data in company systems
• Identify operational breakdowns and correct them before they impact customers
• Monitor workload capacity, staffing alignment, and team readiness
• Champion tools, systems, and processes that improve efficiency and accountability
• Provide the Managing Director with clear operational insight and execution support
• Maintain professional relationships with clients, vendors, and internal teams
• Serve as the escalation point for operational issues, making decisions quickly to keep work moving and customers informed
Qualifications
• Experience in operations, dispatching, or service-based business environments
• Proven ability to manage people, schedules, and competing priorities
• Strong understanding of how operational and people failures impact customer trust
• Bilingual English and Spanish strongly preferred
• Comfortable handling HR related responsibilities in a small business setting
• Highly organized with strong follow through and attention to detail
• Confident, calm, and decisive under pressure
• Strong command of digital tools, CRMs, and operational software
• Ability to work in person and take ownership of results
