Administrative Assistant

Essential Responsibilities include, and are not limited to:

· Answering multiple phone lines.

· Prepare agendas, materials and emails for upcoming meetings and/or presentations.

· Handle any requests issued by Athena staff as required.

· Perform administrative and office support activities.

· Run errands including going to the, post office, Fedex offices etc.

· Scan invoices into Accounting system.

· Prepare & Mail out Fed Ex Packages, UPS, USPS, and Certified outgoing mail.

· Prepare and draft confidential correspondence, memos, and contracts.

· Prioritize and manage multiple projects and follow through on issues in a timely manner.

· Arrange meetings and appointments and provide reminders.

· Collect and monitor data and information and support/maintain agency database management systems.

· Collect and track insurance documents.

· Draft vendor service and maintenance contracts.

· Call vendors regarding past due bills.

· Assist Property Managers and Assistant Property Managers with miscellaneous administrative tasks.

Knowledge, Skills, and Experience

Education and/or Experience:

· 1-5 years experience in a similar role.

· Strong computer skills a must (MS Office Suite).

· Excellent verbal and written communication.

· Ability to handle multiple tasks with strong organizational skills;

· Detail oriented with independent work ethic.

· Property Management experience a plus.
