Personal injury law firm seeks to immediately hire a qualified, professional, dependable Legal Secretary/Assistant to assist in the performance of the following duties and responsibilities:

Duties and Responsibilities:

  1. First person to answer the telephone and door, unless preoccupied;
  2. Welcome visitors into the office and attend to them;
  3. Complete all intake with clients for new matters (follow Checklist):
    • Create new matters in Clio for each intake
    • Create electronic and physical folders for new matters
    • Make sure all documents are scanned
  4. Complete payment receipts for all money received and maintain copies
  5. Point of contact for all traffic matters:
    • Maintain, organize the traffic matter folders (Physical and electronic)
    • Scan citations
    • Calendar all traffic court dates properly
    • Draft and file all necessary motions
    • Confirm which attorney will appear for the matter
    • Check for scheduling conflicts for all traffic matters
    • Help clients access the website to pay fines, when necessary
  6. Point of contact for all bodily injury claims handling:
    • Follow-up with clients every thirty (30) days after intake to confirm treatment status
    • Follow-up with clients if notes received of missed appointments
    • Schedule all imaging and specialist appointments (MRI, X-ray, ortho, neuro, IPM, etc.)
    • Manage any and all medical records received
    • Manage medical deposits and treatment approvals 
    • Communicate with adjusters and clients regarding bodily injury claim information
  7. Draft and send the following claims correspondence:
    • Welcome letters
    • Letters of guarantee
    • Settlement demands
    • Closing letters
  8. Register all outgoing mail;
  9. Receipt of mail, deliveries, and sheriff service;
  10. Maintain electronic and physical folders as needed
  11. Any and all assignments from the attorney(s), paralegal/office manager, and senior legal assistant/administrative assistant;

  • Fluency in Haitian Creole language is a plus but not required
