About the Role
We’re seeking an organized, proactive Executive Assistant to support Matt De Miglio, CEO. This role is ideal for someone who is highly detail-oriented, thrives in a fast-paced environment, and enjoys owning logistics that help leadership operate at a high level. You’ll support Matt’s day-to-day operations including scheduling, communication, meeting preparation, travel, and special projects—serving as a key partner in keeping priorities on track.

Key Responsibilities
Calendar + Scheduling
• Manage Matt’s calendar, schedule meetings, and coordinate across multiple stakeholders
• Prioritize and triage scheduling requests, ensuring focus time is protected
• Prepare agendas and briefing materials for meetings and follow-ups
Communication + Coordination
• Serve as a point of contact for internal and external communication on Matt’s behalf
• Draft and organize emails, notes, and summaries from meetings
• Track action items, deadlines, and deliverables across projects
Travel + Logistics
• Coordinate travel arrangements (flights, hotels, transportation, itineraries)
• Support event-related logistics (on-site schedules, run-of-show, vendor contact lists) as needed
• Manage expense receipts, reimbursements, and basic admin documentation
Project + Operational Support
• Assist with special projects, research, and presentations
• Build and maintain organized systems for files, contacts, and recurring workflows
• Support coordination across departments (events, operations, marketing, etc.)
• Handle confidential information with professionalism and discretion
Qualifications
Required
• Strong organizational skills and attention to detail
• Excellent written and verbal communication
• Ability to manage multiple priorities and meet deadlines
• Professional judgment and discretion (this role involves sensitive information)
• Proficiency with Google Workspace (Calendar, Gmail, Docs, Sheets)
• Reliable, responsive, and comfortable working independently
Preferred
• Experience supporting an executive, manager, or project lead (administrative, office manager, or operations support)
• Familiarity with tools such as Slack, Notion, Airtable, Asana, Trello, or similar
• Interest in operations, events, or business administration
• Strong problem-solving and “figure it out” mindset

Work Environment
• Occasional flexibility required based on deadlines or travel/event schedules
