Loan Specialist

 

IMMEDIATE SUPERVISOR:         

Director of Loan Services

MINIMUM QUALIFICATIONS:             

Undergraduate degree in finance, accounting, business administration or related field is preferred. Acceptable experience in lieu of education would be a minimum of four years experience in banking, accounting, business consulting or management, office management or related field.  Commercial or nonprofit lending experience strongly desired.  Must possess excellent computer, organizational and communication (both written and verbal) skills.  Must be proficient with computerized loan portfolio management and word processing software programs and common office equipment.  Must have and maintain a valid Montana driver’s license.  Must meet physical demands of position.

Applicants for the position must be able to establish and maintain effective working relationships with co-workers, lenders, clients, investors, loan committee members, state and federal government agencies, and the general public. Must also be able to communicate clearly and effectively, both verbally and in writing.  Ability to pay close attention to numerous details. Must be self-motivated and able to work independently, but also cooperatively with co-workers, government agencies, financial institutions, the private sector, general public and others. Must be able to meet deadlines and work effectively under pressure.

 

DUTIES OF THIS POSITION:                 

This position is responsible for communicating with loan applicants to elicit information; investigate applicants’ backgrounds and verify references. Assemble and review all loan applications and required documents to ensure completeness of loan information. Prepare loan documents, loan security instruments and loan closing documents.  This position will also maintain loan files and monitor borrower compliance with loan covenants and agreements.  Assists Director of Loan Services to prepare and submit required reports (quarterly, semi-annual and annual) to Bear Paw’s funding partners, including state and federal agencies and the private sector. Responsible for other duties as assigned by Director of Loan Services or Executive Director. 

This position will also perform the following duties:

 

  • Communicate with loan applicants to obtain personal and financial data, assist potential clients in completing applications and provide assistance in gathering required documentation.
  • Maintain and set up files on each loan and ensure that the information is complete and accurate before being sent to the Director of Loan Services for analysis. Examples of information needed for a complete file include, but are not limited to, credit reports, lien filing reports, proof of insurance, etc.
  • Track outstanding items on all files and follow up with customers to ensure timely receipt of necessary documentation. 
  • Answer questions and advises customers regarding loans and transactions.
  • Prepare correspondence and predisclosures, work with loan clients and potential clients, effectively and efficiently provide credit-related services to clients.
  • Prepare all appropriate loan documents for the type of loan being offered to the client and acquire all documents necessary to perfect the loan.  Such documents include but are not limited to lien filings, UCC’s, mortgages, title insurance, proof of insurance, loan authorization forms, financial statements and cash flow, etc.
  • Responsible for booking all loans on Bear Paw’s accounting system.
  • Responsible for all aspects of loan file maintenance, including those directed by the Director of Loan Services.  Examples include waiver of late charges, adjustment of payment schedules, loan extensions, preparing ticklers, renewing UCC’s, etc.   
  • Responsible for the physical maintenance of loan files, following the guidelines and policies established by Bear Paw and any regulations by Bear Paw’s funding partners. 
  • Prepare all correspondence as directed by the Director of Loan Services, or as required by common loan administration guidelines.
  • Answer telephone and electronic inquiries and handle routine client requests.  Examples include providing loan balance information, pay off amount, etc. 
  • Schedule client meetings as necessary and as directed by the Director of Loan Services.
  • Respond to compliance and auditor findings related to loan portfolio as discovered by funding agencies, Bear Paw’s auditor or others. 
  • Follow-up in a timely manner on loan tickler reminders and reset ticklers as necessary.
  • Process paid loans and perform monthly reconciliation.
  • Verify and examine information and accuracy of closing documents and facilitate loan closings.

 

Some travel is required within Bear Paw’s five-county region, and occasional travel outside the region, including overnight travel to attend meetings, workshops and training seminars, may also be required. 

 

 

ABILITIES AND PHYSICAL DEMANDS:      

Position requires the skills to talk to and communicate with the public, co-workers, and groups. Sits at a desk, at meetings, and in vehicles for long periods of time. Uses hands and fingers to handle the telephone, computer, office equipment, and write.  Vision abilities require the skill to review technical and legal documents, reports, telephone numbers, analytical and statistical reports.  Stands and walks short distances.  Stoops and bends, handles and lifts books, papers, and office equipment up to 25 pounds.  Travel is required to remote locations when performing job duties. May require climbing on and into various vehicles. Normal restricted smoking, office environment. Periodic exposure to dirt, dust, and fumes.
