Records & Facilities Coordinator

Elkins Kalt is seeking to hire a Records & Facilties coordinator to assist our Records & Facilities manager with running the daily operations of our law firm located in Century City. 

This position plays a key role in the effective operation of our office and building. Our ideal candidate will be a proactive self-starter who desires to contribute positively as part of a team and progress in the role over time.

This is a full-time position that will work on-site in our Los Angeles office, Monday - Friday, from 8.30 to 5.30 p.m. 

Primary duties include:

  • Working closely with Reception and building security to be aware of the flow of visitors to the building, and provide backup support to Reception when needed.
  • Setting up conference rooms, maintaining coffee machines, ensuring copy areas are stocked with paper and supplies, and taking regular inventory of office supplies.
  • Running daily searches using our conflicts check database to generate reports and sending the reports to attorneys as requested.
  • Organizing large volumes of legal documents by scanning, naming, indexing, and uploading to our document management system.
  • Other general administrative tasks as may be assigned, including printing documents and envelopes, assembling binders, sending out packages by mail, etc.

Required Skills and Qualifications

  • Ability to communicate clearly and effectively, and remain calm under sometimes stressful situations.
  • Strong work ethic, excellent attendance and punctuality, and the ability to follow instructions accurately and with minimum supervision.
  • Strong organizational and prioritizing skills, to maintain daily responsibilities and complete projects with various degrees of time sensitivity.
  • Ability to maintain strict client confidentiality and professionalism.
  • Proficiency with general office software such as Microsoft Office, Excel, Outlook, and Adobe PDF.
  • 1-3 years of prior legal or other professional services experience highly preferred.
