State Uplands, Administrative Assistant 2 (AA2)
Location: Natural Resources Building- Olympia, WA

Salary: $3,239.00 - $4,299.00 Monthly
 

Responsibilities:

  • Provide administrative support for the State Lands division personnel.
  • Process initial documentation for payment of invoices. Work includes working with and understanding the department’s financial chart of accounts.
  • Troubleshoot and provide guidance on agency policy and procedures concerning administrative functions such as travel, procurement, financial systems, and personnel.
  • Procure supplies, software, equipment, and specialized purchases for state lands divisions.
  • Act as the purchase card custodian for two State Lands purchase cards.
  • Act as authorized administrator of program staff’s purchase card accounts, currently 9 accounts.
  • Vet calls from the public regarding agency policies, rules, and regulations.
  • Receive and coordinate visitors to the state lands division staff.
  • Backup for Administrative Assistants during temporary absences for leave, fire assignments, or other work assignments.
  • Track and enter monthly data of State Lands metered equipment reporting (MER) into the agency’s AssetWorks database system.
  • Perform specialized, complex projects as requested by division staff, and may participate on panels and committees representing State Lands concerning administrative processes. 
  • May provide notary services if the incumbent has obtained a notary commission.

Required Qualifications: 
 

  • Two years of experience in providing customer service, administrative, or clerical support in any capacity;
    OR an equivalent combination of education and/or experience.
  • MS Office intermediate user experience: Excel – create format, edit, and sort worksheets and data; and create formulas. Word – insert pictures, charts, etc., format sections, and create headers and footers. Outlook – compose, send, forward, and reply to email; insert attachments and meeting invitations, and manage calendar activities.
  • Exercises sound professional judgement regarding business operations and problem analysis.
  • Effective verbal and written communication skills.
  • Engages with others in open, mutually beneficial ways, maintaining positive interpersonal communications and successful working relationships.
  • Accustomed to finding answers for tasks outside areas of expertise.
