Custom Publishing Assistant
W. W. Norton & Company is seeking a Custom Publishing Assistant to support the work of the college department’s Publishing Director, Custom Editorial team, and Custom Sales Specialist. This dynamic position will involve administrative, editorial, production, and sales responsibilities involved in customizing college textbooks and courseware across Norton’s higher education list.
Essential Job Responsibilities Include:
- Creating and maintaining up-to-date Smartsheets, spreadsheets, databases, and/or metadata to track custom projects.
- Scheduling, coordinating, and attending planning meetings for approximately 50 custom projects per year.
- Managing ISBNs and tracking, including product status and prices; helping manage inventory, orders, reprints, and permissions.
- Proofing, routing, and tracking custom contracts.
- Coding and transmitting invoices to accounting for vendor payments.
- Supporting publishing process, custom editorial, and sales teams by maintaining detailed and accurate records.
- Creating reports such as sales reports, royalty reports, and permissions-usage reports (proficiency in advanced Excel, Smartsheet, and/or Salesforce functionality a plus).
- Collaborating with editorial, production, permissions, distribution center/warehouse, sales, marketing, freelancers, production vendors, and other teams to meet deadlines.
- Coordinating with customers, vendors, and other external stakeholders, including communicating schedules and other key information, requesting and tracking payments to vendors, and managing accessibility requests.
- Maintaining and organizing digital files on appropriate servers.
- Copyediting, proofreading project materials, and reviewing corrections; proofing covers and sample books, and conducting QA on digital materials.
- Performing other editorial responsibilities for print and digital projects as needed, including prepping manuscript for custom projects, creating art logs, and communicating project instructions to production teams.
- Performing permissions research, assisting custom sales specialist with preparing potential custom permissions forms, and other research responsibilities.
- Hiring, training, and managing seasonal interns.
- Performing other miscellaneous projects and tasks as needed.
Required Qualifications:
- Bachelor’s degree.
- Employment eligibility to work with W. W. Norton & Company in the US is required.
- Must be able to work full business hours, primarily in an Eastern time zone.
- Must be independent, self-motivated, adaptable, and able to manage a high volume of work from a remote location.
- Must be able to manage time effectively, stay organized, and balance multiple tasks at any given time.
- Must be extremely detail-oriented.
- Must have excellent organizational, verbal, and written communications skills. Must be able to interact with colleagues and customers in a professional manner via remote channels (Teams, phone, email, etc.).
- Must have a "can-do" attitude and be proactive and flexible in a fast-paced and rapidly changing environment.
Technical Skills:
- Proficiency in Excel, Word, Outlook, Adobe Acrobat Pro, and Google Suite. Smartsheet, Salesforce, InDesign, and advanced Excel experience a plus.

Currently available benefits include:
- Annual compensation for this position is $45,000. All salaries and salary ranges posted by Norton may vary depending on experience, skills, location, and like considerations.
