Role Summary
The Operations Associate is responsible for day-to-day operational execution across jobs, vendors, and internal teams. This role ensures projects move forward smoothly, materials are ready, crews are scheduled, issues are caught early, and communication stays tight between sales, installers, suppliers, and customers.
This position is ideal for someone who is highly organized, calm under pressure, and enjoys turning chaos into systems.
Key Responsibilities:
Job & Project Coordination
- Track active jobs from contract to closeout
- Ensure materials are ordered, received, and staged correctly
- Coordinate installer schedules and job start dates
- Confirm site readiness before crews mobilize
- Identify conflicts early and escalate before they become emergencies
Installer & Vendor Support
- Serve as point of contact for installers on job logistics
- Verify labor availability and job assignments
- Assist with subcontractor onboarding and compliance tracking
- Communicate with suppliers on lead times, shortages, and delivery issues
Issue Resolution & Fire Prevention:
- Monitor job progress and proactively flag risks (missing materials, schedule conflicts, access issues)
- Handle routine job problems so ownership only sees escalations
- Document recurring issues and help implement process fixes
Administrative & Process Support:
- Maintain job records, schedules, and documentation
- Assist with purchase orders, confirmations, and delivery tracking
- Support closeout paperwork (warranties, punch lists, completion photos)
- Help build and maintain SOPs as the company scales
Cross-Department Communication:
- Liaise between sales, accounting, installers, and suppliers
- Ensure information is accurate and up to date across teams
- Support leadership with reporting on job status and bottlenecks

Required Skills & Experience
- Experience in operations, construction coordination, or project support preferred
- Strong organizational and time-management skills
- Clear communicator (phone, email, in-person)
- Comfortable working across multiple jobs at once
- Calm under pressure and solution-oriented
- Proficient with basic software (email, spreadsheets, job tracking systems)
