Job Description: Administrative & Operations Assistant

Congregation Beth Israel, Carmel, CA
 Reports to: Executive Director
 Status: Full-Time, 40 hours per week

Position Overview

The Assistant Executive Director plays a key role in ensuring the smooth daily operations and vibrant communications of Congregation Beth Israel (CBI), a welcoming, progressive synagogue in Carmel. This position supports the Executive Director and works collaboratively with clergy, staff, and lay leadership to advance CBI’s mission through effective administration, communication, and community engagement.
 

The ideal candidate will be highly organized, technologically adept, and a strong communicator who thrives in a dynamic, people-centered environment. 
 

Core Responsibilities

1. Communications and Public Relations

  • Serve as the lead staff member for all synagogue communications, overseeing content strategy, production, and distribution.
  • Manage the monthly “Shofar” newsletter—including writing, editing, layout, and mailing.
  • Produce the weekly email blast and other e-communications.
  • Oversee and maintain CBI’s website and social media presence, ensuring content is timely, accurate, and engaging.
  • Coordinate the live video streaming of Friday night services, maintaining quality and consistency.
  • Support clergy and lay leadership in the creation of communication materials, press releases, and event publicity.
  • Serve on the Communications Committee, providing strategic input.
     

2. Administrative and Office Operations

  • Provide administrative support to the Executive Director, clergy, and Board of Trustees.
  • Maintain all facets of the temple calendar of events, confirming no conflicts.
  • Manage the website calendar. 
  • Handle incoming and outgoing communications (calls, emails, mail) with professionalism and warmth.
  • Oversee membership database management (ShulCloud or similar), including member updates and event RSVPs.
  • Order and maintain office, kitchen, and religious service supplies.
  • Basic bookkeeping responsibilities. Quickbooks experience desired.
     

3. Events and Facility Coordination

  • Assist with logistics for synagogue programs and lifecycle events, including High Holy Days, B’nai Mitzvahs, and Shabbat dinners.
  • Manage weekly Erev Shabbat and Oneg setup in coordination with weekly Oneg hosts.
  • Support Oneg Maven in securing weekly hosts.
  • Coordinate event setup and breakdown in partnership with facilities and volunteers.
  • Maintain a clean, organized, and welcoming environment throughout the building, including the Lobby, Social Hall, Sanctuary, and Kitchen. 
     

4. Member and Community Engagement

  • Serve as a welcoming and resourceful point of contact for congregants and visitors.
  • Uphold CBI’s culture of hospitality and inclusivity in all interactions.
     

Qualifications

  • Bachelor’s degree or equivalent experience preferred.
  • Demonstrated experience in communications, marketing, or digital media, ideally within a nonprofit, synagogue, or community organization.
  • Strong writing, editing, and visual communication skills.
  • Proficiency in Microsoft Office Suite and digital tools (Canva, ShulCloud, social media platforms, or similar).
  • Experience with video streaming and/or basic AV technology preferred.
  • Excellent organizational, interpersonal, and time management skills.
  • Ability to work both independently and collaboratively, with discretion and professionalism.
  • Familiarity with Jewish traditions and holidays is a plus (training available).
     

Work Environment

  • Primarily weekday office hours (Tuesday–Friday), with Sunday mornings during the School Year and occasional support for special events or services. Flexible.
  • Small, team-oriented office setting with direct interaction with staff, members, and volunteers.

 

Compensation and Application

Salary commensurate with experience $20-25/hour. Benefits for full time employees include paid holidays, vacation, and sick time and employer contribution to 401k after 90 days.
